General Summary

Reporting to the Director of Study Abroad, the Assistant Director for Advising and Marketing (ADAM) oversees comprehensive advising and marketing strategy for all university study abroad programs, currently 80+ annually. Leads a team of Study Abroad Advisors to increase enrollment in study abroad, support students through all phases of a quality international experience, and effectively manage term-long institutional and non-institutional programs. Manages a portfolio of study abroad programs, including outreach, application, enrollment, registration, partner institutional relations, program budgeting, and health and safety.

This position has both administrative and supervisory responsibilities and plays a key role in growing study abroad at DePaul University, offering quality student services, and ensuring academic fit, student learning, and satisfaction throughout the entire study abroad experience.

Responsibilities & Duties

Leadership of the Study Abroad Advising and Marketing Team:

  • Hires, trains, and supervises a team of two staff members of the Study Abroad Advising and Marketing Team. Serves as the lead for creating the overall vision and strategy for delivering outstanding study abroad advising and actively participates and shares in the team responsibilities.

Study Abroad Advising:

  • Develops, implements, and evaluates study abroad advising methods and ensures high quality advising that addresses the general purpose and mechanics of study abroad, locations and program types, program-specific advising, academic and curricular fit, and financial aid and scholarships available. Consults with academic advisors and others on campus to ensure programs have strong academic fit and clear integration into curriculum.

  • Develops, implements, and assesses orientation and re-entry support for students participating in 30+ term-long programs annually.

  • Serves as primary liaison with TrAC, University Registrar, college offices, and academic advisors to ensure clear information available to students about how their international courses articulate to the DePaul curriculum for all study abroad program models.

  • Collaborates with Global Engagement colleagues to improve intercultural support for students across a diverse program portfolio and connect these students with the larger international student population on campus.

Marketing and Enrollment:

  • Designs and manages outreach activities, including university-wide promotional events; ensures a comprehensive study abroad marketing strategy for all programs managed by Study Abroad is designed, implemented and regularly assessed by the Study Abroad Advising and Marketing team.

  • Oversees the implementation of program-specific marketing plans including events, classroom presentations, information sessions, development and distribution of printed and web-based marketing materials, and social media.

  • Consults and collaborates with academic departments, Student Affairs and other student support groups to ensure student access to and awareness of study abroad to all student populations, including those traditionally underrepresented in study abroad.

  • Develops and implements efficient and student-friendly procedures to ensure successful tracking and processing of student applications, course registration, and post-program grade processing for all study abroad students. Manages the utilization of all Terra Dotta Software applications related to program marketing, enrollment and student-facing functions.

Program Portfolio Management:

  • Manages portfolio of non-faculty-led term-long study abroad programs. Guides students through all phases of participation for portfolio programs, including selection, application, predeparture orientation and other preparation, course registration, health and safety, and re-entry.

  • Serves as liaison and partner to international and domestic universities and third party study abroad providers associated with program portfolio. Facilitate DePaul student participation, including drafting and maintaining program pricing and budgets and collaborating on applications, course registrations, grades, and onsite student support.

  • Manages registration process and course information for all students in portfolio programs, including articulations, activations, registrations, and grades.

  • Monitors health and safety of students abroad in portfolio programs and enacts emergency procedures, when necessary.

Program Development:

  • Works closely with the Study Abroad Director, AD for Program Management, and Global Engagement to evaluate the viability of new programs and modifications to existing programs, make recommendations for implementation of associated advising and marketing plans, and assign the advising staff once programs have received both curricular and operational approval.

Emergency Response and Crisis Management:

  • In adherence to existing crisis management processes within Study Abroad office Global Engagement, provides student support and advising during and in response to crises. Manages health and safety incidents both during and outside of regular business hours.

  • Performs other duties as assigned.

Education & Experience
  • Minimum B.A/B.S. or equivalent experience with extensive knowledge and experience working abroad with international partners and institutions.

  • The Assistant Director will have had ideally 5 years of experience in the field of educational administration with both supervisory and advising responsibilities, and no fewer than 3 years of experience in an administrative position in university international education and study abroad, preferably in advising and/or marketing positions.

  • Proven ability to work successfully with students, faculty and staff is essential.

  • Familiar with complex concepts, practices and procedures within study abroad advising, as well as study abroad program models and best practices.

  • Ability to rely on experience and judgment to accomplish goals.

Preferred Requirements
  • M.S./M.A.

  • Foreign language proficiency and overseas work or living experience.

  • Working knowledge of principles of counseling and total student support services in a university setting.

Managerial Responsibilities
  • The Assistant Director oversees two full-time staff plus two to three student employees.

  • The position provides regular performance feedback and is responsible for developing and leading a functional team that must work collaboratively with the other departmental teams to ensure overall programmatic success program-by-program, portfolio-by-portfolio, and across the entire collection of program models and program offerings each year.

Financial Responsibilities
  • Works closely with Study Abroad Director and Global Engagement Business Manager, understanding the business needs and practices of the university, ensuring smooth business operations for the programs in the assigned portfolio, and helping assess and ensure program viability based on program budget, operations, and enrollments.

  • Is responsible for the development of and continued adjustments to program budgets for all programs in assigned portfolio.

Other Skills & Abilities Reqd
  • Excellent skills in Microsoft Office products.

  • Experience with Terra Dotta Software (formerly Studio Abroad), People Soft, and SharePoint strongly preferred.

  • Excellent writing, editing, communications, presentation and interpersonal skills.

  • Relates and is sensitive to diverse cultural backgrounds.

  • Demonstrated leadership and supervisory abilities, including ability to motivate teammates.

  • Must be committed to collaborative, teamwork style and diversity in the work place.
