The Highlights: Reporting to the Assistant VP & Chief of Staff, the Special Assistant performs high-level executive and administrative duties that support the SVP's office and ultimately the professional operation of the Enrollment Management division. This position manages the day-to-day operations in EM on behalf of the SVP's Office, works closely with staff in all areas within the division, and also interacts with the President's Office, the Provost's Office, Vice Presidents, Academic Deans, Staff Council, Faculty Council, Student Government Association leadership, faculty, students, and external groups and individuals, as needed. The Special Assistant works simultaneously on a wide variety of projects, many of which are complex, time and politically sensitive, and confidential.
 

What You'll Do:

  • Ensures the effective utilization of the SVP's and AVP's time, including prioritization of competing events or conflicting schedules and makes decisions on the appropriateness or necessity of attendance for both/either leaders in events or meetings as required. Brings information and issues to the attention of the SVP and AVP as needed. This includes scheduling on-going and ad-hoc meetings with university leadership, direct reports, university councils, external stakeholders, and generally support the SVP's and AVP's commitments in an organized and effective manner. Set up and maintain digital meeting and collaboration platforms as needed. 
  • Manages the divisional budget operations for EM. This includes regular reporting of expense status and forecasts for SVP and AVP, as well as monitoring and support of unit level budget managers. Makes appropriate decisions on allocation of funds on an ongoing basis, in collaboration with SVP and AVP. Manages and monitors budget entries and budget status in BlueSky. 
  • Communicates on behalf of the SVP and AVP, using multiple channels, with the entire EM division, units within EM, as well as individual stakeholders as needed. Schedules the appropriate cadence of communication--both ad hoc and ongoing. 
  • Manages division-level day-to-day operations related to billing, procurement, contracts, approvals, human resource forms and processes in support and on behalf of the AVP and SVP for EM. 
  • Supervises student workers as needed
     
What You'll Need: 
  • Bachelor's Degree, required.
  • Budget management experience, required.
  • Excel expertise, required.
  • Project management experience, required.
  • Superior communication skill and judgment, required.
  • Expertise in digital meeting/collaboration technologies, required.
  • Excellent communications and interpersonal skills, including the ability to deal appropriately with persons at all levels of the University community.
  • Ability to respond to multiple tasks in an organized fashion, prioritizing tasks appropriately.
  • Ability to remain flexible in changing environment.
  • Thorough knowledge of Microsoft Office.
  • Ability to function effectively as a colleague, leader, and member of the School community.
  • Knowledge of university practices and procedures.

  The anticipated hiring range for this position is: $30.89 to $38.47 per hour.  The salary range provided in this posting reflects what we reasonably expect to pay for this position. Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
