SALARY: $17.39 (NEGOTIABLE)
(Employees will receive 5% below the negotiated pay rate during their probationary status.)

  POSITION SUMMARY Perform a variety of administrative and staff support duties which requires exceptional customer service and a range of skills and knowledge of organizational policies and procedures. Incumbent will be assigned duties but may be asked to assist with other duties based upon the needs of the department. Continuation of this position is contingent upon funding allocations.

  DUTIES AND RESPONSIBILITIES:

  1. Provide excellent customer service and demonstrate concern for all internal and external customers.
  2. Provide guidance and assistance to patients and outside providers on various PRC related inquiries, including but not limited to PRC eligibility, claim and referral status.
  3. Perform a variety of administrative duties to include but not limited to, scanning documents, making copies, updating databases, verifying information, stamping/sorting department mail and preparing correspondences.
  4. Support PRC staff in completing duties as requested.
  5. Create and revise presentations for professional staff as requested.
  6. Edit and review all correspondence and documents for correct grammar, punctuation, and spelling.
  7. Conduct research to resolve PRC questions or issues as requested; make recommendations to enhance efficiency of operations.
  8. Maintain an electronic filing and retrieval system.
  9. Operate office machines, equipment, and computers.  
  10. Intake and enter all PRC applications and corresponding paperwork submitted to Purchased Referred Care, including follow up with patients as needed.
  11. Attend meetings and take minutes as requested.
  12. Assist with deposit of checks sent to department and reconciliation needed for processing refunds into PRC system.
  13. Transmit outgoing faxes, and retrieve, log, and distribute incoming faxes.
  14. Contribute to a team effort and accomplish related results as required.
  15. Adhere to all Tribal Personnel Policies and Procedures, Tribal Standard Operating Procedures, and Area and Program Strategic Plans and Policies.
  16. Maintain strict department security, confidentiality, and quality to meet professional standards of the department.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
  1. Frequently sit; handle and feel; reach with hands and arms.
  2. Occasionally stand, stoop, kneel, crouch, or crawl. Lift and/or move up to twenty-five (25) pounds.
  3. Work is generally performed in an office setting with a moderate noise level.
  4. Evening and/or weekend work may be required. 
  5. Extended hours and irregular shifts may be required. 
  6. A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.
    
STANDARD QUALIFICATIONS:
  1. Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic.
  2. Knowledge of records management.
  3. Knowledge of switchboard or telecommunications system.
  4. Knowledge of Indian Health Services (IHS) rules and regulations pertaining to eligibility.
  5. Skill in operating various word-processing, spreadsheets, and database software programs in a Windows environment.
  6. Ability to communicate effectively in the English language both verbally and in writing.
  7. Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.
  8. Ability to represent the organization in a professional manner, building respect and confidence.
  9. Ability to write clear and concise reports, memoranda, directives, and letters.
  10. Ability to handle multiple tasks and meet deadlines.
  11. Ability to carry out instructions furnished in verbal or written format.
  12. Ability to work independently with minimal supervision.
  13. Must adhere to strict confidentiality in all matters. (Must sign a confidentiality statement prior to employment.)
  14. Must complete Health Insurance Portability and Accountability Act (HIPAA) training within 30 days of employment and annually thereafter.
  15. Must be willing and able to obtain additional education and training.
  16. Must comply with Caregiver Law and Grant conditions criminal history checks as a condition of employment to include fingerprinting.
  17. Must pass a pre-employment drug screening.  Must adhere to the Nation's Drug and Alcohol-Free Workplace Policy during employment.
  18. Employees are required to have proof of immunity or dates of 2 doses of MMR and Varicella prior to starting in any position within the Oneida Comprehensive Health Division.  Any refusal of vaccination(s) or failure to provide proof of immunity may disqualify the applicant. 
  19. Must pass a background security check with the Oneida Nation to meet the Employment Eligibility Requirements, Tribal/State Compact and/or Oneida Nation Gaming Ordinance as they pertain to the position. A temporary license or Gaming License issued by the Oneida Gaming Commission is required as a condition of employment and continuing employment within the Oneida Nation's Gaming Division.

MINIMUM QUALIFICATIONS:

  1. Must be an enrolled member of the Oneida Nation.
  2. High School Diploma, HSED Diploma or GED Certification; applicants age fifty (50) and older are exempt from this requirement.
  3. Two (2) years of administrative experience in business, medical office, or similar environment.
