After successful completion of the probationary period, employee will receive off probation wage increase.


Summary:

This position performs a variety of day-to-day administrative, management, and clerical support services to Central Purchasing director and administrative team.


Responsibilities:

* Complete requisitions, purchase orders, assist with tracking expenditures, and contracts.
* Coordinate and consolidate reports such as annual/semiannual GTC reports, quarterly operations and financial reports.
* Assist in documenting, drafting and developing business processes, policies and procedures.
* Greets guests and customers in person or on the telephone answering and/or directing inquiries to be adequately addressed.
* Maintain professional and practice-based knowledge by attending educational workshops, classes and conferences; reviewing professional publications; establishing networks; participating in professional multidisciplinary work groups; conferring with representatives of contracting agencies and related organizations

* Plan, schedule, organize, and coordinate meetings, manage assigned directives, assignments/tasks, projects, and/or events.
* Answer and route phone calls, inquiries, routing and preparing e-mail and correspondence, assist with processing time and attendance, coordinating events, filing, record keeping and office inventory on behalf of director.
* Schedule and attend meetings on behalf of Director; provide thorough documentation regarding meeting content. Ensure minutes of meetings are comprehensive, accurate, distributed timely with follow-up on subsequent actions and activities.
* Assist in providing and maintaining clear communication as it relates to processes/plans/directives with executive and administration team.
* Develop, implement, and administer standard operating procedures for the Purchasing and Licensing area(s) ensuring the procedures are based on business needs, trends, and best practices.
* Assist in preparation, coordinating and tracking of competitive solicitations, i.e. request for qualification, quotes, proposal, sealed bid on behalf of director and/or administrative team.
* Coordinate travel/purchasing documents and assist in coordination of events on behalf of director and/or administrative team.
* Assist in planning, coordinating, and implementing centralized procurement processes to increase efficiencies across the organization.
* Assist in coordinating and managing the paperwork, user access, and communication of vendor credit accounts
* Assist in coordinating, implementing, and executing training plans for the user departments of procurement software and ordering systems.
* Conduct research and analyze information as needed, to assist in preparing presentations, spreadsheets, financial reports, regularly scheduled reports, documents, and other reports as required.

* Ability to conduct research technical or administrative topics and prepares reports.

* Establish and maintain effective working relationships with other law enforcement/regulatory agencies, departmental staff, tribal officials, and the public
* Business English, proper spelling, grammar, punctuation, and basic arithmetic
* Analyzing problems, projecting consequences, identifying solutions, and implementing recommendations
* Ability to communicate effectively both verbally and in writing and to be persuasive and tactful in controversial situations

Must pass a pre-employment drug screen and adhere to the Nation Drug and Alcohol-Free Workplace Policy.

A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.

Must provide a copy of diploma/degree, license, or certification upon employment.
