Under the general of the primary Facilities Manager, the Lead Facilities Analyst provides support to all the staff and faculty occupying Knudsen and the Physics & Astronomy Buildings, Planetarium (Math Sciences Building) and a portion of Kaplan Hall (Division Mechanical Shop), approximately 150,000+ square feet. He/she is responsible for maintaining the building infrastructure, identifying problems, recommending and implementing solutions for a large, active teaching, research and administrative department. Serves as liaison to UCLA EH&S and Fire Marshal to ensure laboratory and overall building compliance. Working with the Facilities Manager, analyzes future space, equipment and budget needs. Performs the annual Space Inventory and Asset Management processes for an asset total of $11M. Supports Facilities-related Sales and Service operations (research store, nitrogen), including responsibility for purchasing, equipment maintenance and inventory. Lead Facilities/Receiving in the implementation of the department-wide purchasing platform. The Assistant Manager provides logistical support for all events organized by the department's Administrative Support Group. Together with the Facilities Manager, execute university policies on a wide range of facilities and operational issues. Assume responsibility for maintenance and operation of the building in the Facility Manager's absence.
Qualifications
High School diploma or GED and one year of laboratory experience or two years of college including courses in sciences; or an equivalent combination of education and experience. Required General knowledge of basic laboratory apparatus and sensitive research apparatus and set-up or work experience in that area. Required Ability to follow both verbal and written instructions. Required Ability to communicate effectively both orally and in writing on an individual or group basis. Required Ability to perform with minimal to no supervision to complete tasks. Required Ability to complete the Physics & Astronomy shop training course for use of Physics Shop Equipment & Machinery. Required Excellent interpersonal skills with ability to establish, foster and maintain effective working relationships with faculty, staff, students, campus units and vendors. Required Experience working with Facilities staff including project managers, painters, carpenters, flooring crew and custodial staff. Required Ability to manage time effectively and set priorities in the context of frequent interruptions. Required Skill in interacting with effectively with technical staff to direct removal and installation of equipment, including computer equipment, during moves and renovations. Required Demonstrable computer literacy sufficient to create and manage databases and spreadsheets in addition to routine online transactions (BruinBuy, TSR, FSRs). Preferred Ability to stand, kneel, crawl, squat, bend, reach above shoulder level, stoop and climb ladders; push, pull and lift up to 50 pounds. Required Demonstrated ability to safely operate a forklift to move equipment and deliveries. Required Skill in using general hand tools, electrical tools, and specialty tools assembly and repairs of equipment and research apparatus. Required Skill in systematically analyzing and isolating the cause and effect relationship in non-operating or partially operating equipment. Required Working knowledge of standard safe working practices. Ability to learn scientific terminology to handle chemicals, gases and research equipment. Required Working knowledge of personal computers and basic software packages. Required Skill in working independently and following through on assignments with minimal direction. Required Ability to interact with a diverse group of people and units across the department; internally and externally (architects, engineers, research faculty craftspeople, business operations etc.) in solving facilities or building problems. Required Able to provide excellent customer service in support of the goals of department, and Facilities Manager. Required Ability to define problems accurately, identify solutions, formulate logical and objective conclusions, recognize alternatives and their implications and take necessary action. Required
