Duties and Responsibilities:
Monitor all incoming paper and electronic information coming into and going out of the office.
Screens all correspondence, refers it to necessary staff and agencies.
Evaluate outgoing documents for any errors in punctuation, grammar, dates, operation numbers, and corrects prior to sending. Monitor status of all Office work activities in the electronic Survey Log .
Ensures all work is accurately updated in the log, and prepares reports for outstanding work required, including information/responses not received timely from Provider Agencies.
Lead staff member for distribution of all statements of deficiency SOD issued to program except Intermediate Care Facilities or SODs prepared by the Office of Fire Prevention and Control OFPC .
Provide back-up to the Secretary 1 and Keyboard Specialist for ICF and OFPC SODs.
Receive all guests, interviewees, and provider representatives visiting the office.
Monitor incoming phone calls and directs same to appropriate Office parties. This includes evaluation of complaints received via telephone for individuals receiving services, their families, community members and/or provider staff.
Monitor the location of all Office staff on a daily basis. Prepares an internal control document used by Area Monitor the location of all Office staff on a daily basis.
Prepares an internal control document used by Area Directors to ensure staff are appropriately entering work time on LATS. Maintains the Office time-off request system utilized by Area Directors to ensure adequacy of staff coverage.
Prepare reports for the Area Directors outlining coverage during critical time periods e.g. holidays, summer vacation season . Special Projects: Conduct special projects as assigned by Area Directors including researching necessary data, compiling the data in a user-friendly format. Time identified constraints.
Prepare Office response to Freedom of Information Law FOIL requests.
Provide training to the keyboard specialist in all aspects of the keyboard specialist duties.
