The Highlights: The Department of Housing and Residence Life at DePaul University serves about 3,000 students residing in traditional-style and apartment-style residence halls on the Lincoln Park and Loop Campuses. The Housing Occupancy Coordinator is responsible for coordinating on-campus residential agreements and assignments for Lincoln Park and the Loop, administering the housing management software, and maintaining housing wait and priority lists to prescribed supervisory standards. The Housing Occupancy Coordinator assists the Associate Director of Housing Operations with the housing summer program. This position also oversees the coordination of summer program lodging and assignments for summer conferences, summer groups, and summer interns. This position will also assist the supervisor, as required, in establishing positive relationships with other university offices regarding program specific student assignments, generation of statistical reports, and coordination of communications to students interested in on-campus residential housing. This position is responsible for Lincoln Park and Loop campus housing.


What You'll Do:

  • Responds to information requests from students and parents as directed by their supervisor, in person, via telephone and/or via e-mail, including support with OneDePaul and CMD customer services. Responsible for the documentation and filing of all communication with other departments, students, parents and various contacts. 
  • Utilizes housing management software to coordinate the assignment of all housing units to students relative to new agreements, room change requests, and judicial room changes. Communicates all information relative to assignments with students and staff. Coordinates the returning and transfer student room selection process each year. 
  • Manages the processing of all housing agreements for new and current students, summer housing guests, as well as the processing of all housing assignment forms, including wait list, room change, room reassignment, summer and winter housing agreements.  Under direction of their supervisor, processes forms on a fair and consistent basis. 
  • Coordinates the agreement, assignment, and access processes for summer programs (conferences, groups, and interns). Maintains and updates the applications and agreements for summer programs and provides professional expertise in conference lodging coordination to clients of summer programs (conferences, groups, and interns) and collaborates with other campus departments in the provision of these services. Manages hall access for all attendees in each summer program. Participates as necessary in strategic planning, problem solving and operational meetings to grow and maintain summer conferences assignments. Creates, updates and reviews summer conference agreements, intern agreements, summer group agreements, and publications (traditional print media and online). 
  • Assists in the development and distribution of mass communications to students regarding housing confirmation, billing and meal plan information, assignment notification, and wait list updates. Coordinate communication with residents who are not enrolled and residents who have not paid fees and work with other university offices to determine their status as students. 
  • Processes all housing cancellation forms for both campuses and ensures the appropriate tracking and coding of these cancellations in an effort to understand why students are leaving housing and possibly DePaul. 
  • Participates in all departmental, division, and university meeting and training sessions. 
  • This position is responsible for the training and supervision of 2-3 student employees relative to all responsible functions.
  • Work in this role has a direct tie to Housing revenue.


 

What You'll Need:

  • Associate degree or certification in business or secretarial science (two year) program required; bachelor's degree in business or liberal arts preferred.
  • 3+ years of experience in administrative/secretarial positions in a university/corporate setting required.
  • Proficient in Microsoft Office Suite (Word, Excel, Access)
  • Strong verbal and written communications skills. 
  • Ability to work independently and able to manage priorities and tasks.
  • Ability to effectively interact with students, parents, colleagues, vendors, University staff and faculty.
  • Ability to provide student-centered customer service.

  • Must maintain confidential information.
  • Some evening and weekend work may be required for peak operational periods; occasional overtime during peak times expected.
