The Highlights: Under the general supervision of the Associate Director, the Admission Coordinator will act as the primary processor for applications including entering decisions, matriculating students, and updating current student programs or readmission. The Admission Coordinator will generate communications and troubleshoot systems issues. The Admission Coordinator advises potential and current applicants based on student need using phone, email, and live chat systems. This position also aids the director in budget management and student worker supervision. The Admission Coordinator will write and edit in-house communication for various student populations on an ad-hoc basis. 
 

What You'll Do:

  • Working closely with admission operations, monitors new applications and coordinates communications with applicants; conducts initial review of applications for completeness. Accurately enters admission decisions and other student status changes into PeopleSoft. Handles processing of enrollment confirmations, post-acceptance checklists, reclassifications, program changes, readmission, combined BA/MA and other special populations. 
  • Project manages department communications to inquiry, applicant and accepted students; overseeing graduate admission student workers to distribute communication output in a timely manner. Generate communication flow output from the CRM and monitor output to ensure accuracy. Work with the recruitment operations department to troubleshoot and correct problems. Identify need for new or modified communication templates based on exception situations and to supplement existing information channels. Oversee student monitoring of department web pages for accuracy and recommend updates accordingly. 
  • Manage front line customer service function of the office by answering questions from prospective students and applicants via live chat, e-mail, phone and in person that have been triaged by the student workers. Duties include: providing information on basic admission and program information, application status and post-admission information; following up on students' requests and ensuring that problems are solved or directed to the appropriate person or office; schedules and coordinates requests for campus visits. Uses CRM to log and track communications; participate in tele counseling as needed. 
  • Works with assistant director in charge of recruitment events including the university-wide graduate open house, program-specific information sessions and admitted student events to coordinate logistics such as communication requests, preparation of materials, and other duties as needed. 
  • Serve as systems administrator for live chat, email and calendar systems. With Assistant Director, train student workers on front desk procedures. 
  • Manage special communications and processing for international applicants; drive overhaul of current communication plan and tools and assess and recommend need to modify communications and templates. Draft new communications and submit for review and approval by the department. Process I-20 generation and distribution. 
  • Assist director with ongoing budget monitoring and reconciliation in accordance with university compliance policies. Ensure receipts and other operations documentation is organized and filed in a timely and compliant manner providing an audit trail. Become familiar with university budget and compliance guidelines and be department resource for basic questions. Provides administrative support to director, associate director, and to the office as a whole. Duties include: working with director to generate weekly, program-level admission summaries for Deans and program directors; ordering and monitoring supplies, entering work orders, and monitoring inventory of print communications. 
  • Will assist the assistant director with training of the student workers and day to day assignment of tasks to them.
     
What You'll Need:
  • Bachelor's degree required.
  • Previous work experience in academic institution preferred.
  • Excellent written and oral communication skills. 
  • Professional demeanor appropriate for interaction with prospective students, faculty program directors and staff. 
  • Previous experience with student system preferred; willingness and capacity to learn and work proficiently in PeopleSoft, Slate/CRM and with live chat software.
  • Ability to work in high volume, customer-service-oriented office. 
  • Knowledge of general office procedures. Knowledge/ability to learn budget, financial procedures and compliance regulations. 
  • Knowledge of MS Office Suite including moderate proficiency in WORD and EXCEL. 
  • Ability to multi-task; balance competing priorities.
  • Occasional evening work may be required
     
The anticipated hiring range for this position is: $18.70 to $21.98 per hour.  The salary range provided in this posting reflects what we reasonably expect to pay for this position. Actual compensation offered or earned is dependent on experience, education and other factors including departmental budget.
