Wilson Health is looking for a Patient Access Specialist for our MEDICAL RECORDS Department - for our hospital campus located in Sidney, Ohio (North Dayton, Ohio area).   Key Perks and Benefits:

SUMMARY: Maintains the integrity of Wilson Health and Wilson Health Medical Group's medical records. Follows all Federal, State, HFAP and facility guidelines. Assists departments in monitoring systems, collecting data, and implementing quality improvement systems.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Serves customers for all their needs regarding the medical record. Customers include patients, hospital staff, clinics, physicians, hospitals, lawyers, courts, government entities, and insurance companies. Effectively presents information and responds to questions from leadership, staff members, physicians, physician offices, insurance companies, attorney offices, patients, patient families, and the general public.

  • Gathers, prepares, and assembles documents to be stored electronically
  • Creates digital images of documents that are stored electronically
  • Performs quality review and analysis on completed charts
  • Listens to live copies of speech dictation audio and transcribes to legal medical records.
  • Answering phones, faxes and emails
  • Responsible for maintaining Releases of Information according to HIPAA, and state and federal rules and regulations
  • Assists and trains with clinics and other clients to provide records
  • Sends, receives and/or processes sensitive information and reports in accordance with established procedures; provides timely and accurate release of medical information
  • Assists with and provides training to clinical staff in regards to the completion of documents and charts
  •  Assists with and provides training to physicians in regards to their chart completion
  • Minimum of weekly reports to executive leadership regarding current deficiencies
  •  Retrieves medical records from an offsite chart storage facility when needed Responsible for safeguarding patient records and ensuring compliance with HIPAA standards
  • Provides and accepts written and oral communication to and from professional staff regarding patient concerns so that proper resolution may be rendered for the benefit of the patient and organization.
  • Fully participates in team meetings where patients and clinical staff could be better serviced and supported
  •  Maintains close and professional working relationships with all staff within the facility and medical group
  • Maintains and helps patients with all aspects of the patient portal, ie enrolling, navigating, password resets, and reactivating when temporary credentials expire.
  •  Maintains Employee Health Records, scanning in documents in a timely manner
  • Works on various projects to ensure all records are held electronically, ie Covid vaccine orders and injection records, flu vaccine documents, medical group outside facility records requests
  • Assists in cross coverage of team, as needed
  • Other various duties as assigned
  • QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION and/or EXPERIENCE:
  • High School Graduate
  • Previous Epic experience preferred
  • Completion of Medical Secretary Program preferred
  • Basic computer skills, previous computer course preferred
  • Previous experience with Microsoft Suite, Adobe, and Windows
  •  Proficient typing skills at a minimum of 50 WPM
  • Knowledge/background with medical terminology
  • Attention to detail with superior organizational skill
  • Knowledge of HIPAA privacy regulations and practices
  • Proficient with copying, scanning, and faxing

LANGUAGE: SKILLS:

  • Possess the ability to read medical reports to physicians and hospital employees
  • Able to provide the highest quality of customer service in person and on the phone
  •  Proper understanding of grammar and proficient in professional communication

OTHER SKILLS and ABILITIES:

  • Willingness to work as a team member.
  • Ability to multitask in a fast paced environment
  • Prioritize work load and manage time sufficiently with minimal supervisor direction
