The University of Texas at Dallas has an excellent job opportunity for individuals looking to join the Erik Jonsson School of Engineering and Computer Science as a Business Administrator.

Reporting directly to the department Business Manager Lead, the Business Administrator provide administrative and financial support to grant-funded projects and faculty success initiatives for the Department of Materials Science and Engineering's research endeavors.

Another major component of this position is the planning and coordination of departmental events to assure completion within budgetary, space and time limits. This position is action-oriented and requires a high level of organizational and project management skills exercising a high degree of responsibility for a medium to a large complex academic department.

Minimum Education and Experience

  • Bachelor's degree; and 
  • Three to five years of experience performing administrative duties with two of these years in a position with unit-wide scope; and 
  • One to three years of supervisory experience; and 
  • One to three years administrative experience in higher education. 
  • An equivalent level of relevant education and experience may be considered.

Preferred Education and Experience
5+ years of progressively responsible administrative operations experience in higher education including experience in research and grant administration. Proficiency in Microsoft Office Suite and PeopleSoft.

Essential Duties and Responsibilities

  • Monitors cost center budgets and assures funding is available to meet procurement, travel and payroll needs. Initiate budget transfer and adjustments, as needed.
  • Reconcile cost centers for sponsored research and other operating cost centers as needed to support the finance team.
  • Works with faculty, managers, and supervisors on budgeting, financial projections, expenditure benchmarks, and burn rate.
  • Initiates IDT journals, budget journals, and sponsored project budget adjustments to maintain fiduciary, operational, and transactional accuracy.
  • Works with Post Award Management (OPM) for budget revisions and cost center stewardship.
  • Works with faculty to ensure proper cost center closeouts and facilitate the proper and complete expenditure of funds and allowability per the funding agency.
  • Serves as alternate approver for departmental One Card holders.
  • Troubleshoot and resolve financial matters and address discrepancies to ensure accuracy and compliance.
  • Assists with travel arrangements for assigned faculty, including reservations, conference registrations, and reimbursements.
  • Assists with purchasing of equipment and other lab and office tools, including cost center budget, and customs requirements. Determines the appropriate method to pay for goods or services purchased by the department following University policy and procedures and utilizing the appropriate process.
  • Organizes, coordinates, plans, and conducts events by securing space, equipment, and food, preparing invitations, announcements, agendas, brochures, and packets, making travel arrangements and reservations, and overseeing the event as it occurs.

  • Works independently to organize processes involving multiple individuals or units, providing support services requiring the use of discretion and independent judgment in making decisions that affect employees or students, and/or working with complex and active financial accounts.
  • Remains competent and current by attending professional development courses, software training classes, and courses and/or training sessions as directed by the supervisor or required by the University.
  • Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
  • Supports MSE by performing all other duties as assigned by the supervisor.


Additional Information

This position is full-time, with standard Monday – Friday, 8:00 am to 5:00 pm hours. The position is not eligible for remote work.
