The University of Texas at Dallas (UT Dallas) has an excellent job opportunity for individuals looking to join our team as an Administrative Coordinator in the Office of the Vice President for Academic Affairs and Provost. This unique role will be located in the Texas Instruments Biomedical Engineering and Sciences building (TI-BMES) at UT Southwestern Medical Center (UTSW). The Administrative Coordinator will work under minimal direction to provide administrative support to faculty, research staff, and administrative staff from UT Dallas who are located in TI-BMES.
Minimum Education and Experience
Bachelor's degree in Business Administration with three years of administrative experience; or equivalent combination of education and experience.
Preferred Education and Experience
Previous experience in higher education
Essential Duties and Responsibilities
Job Duties:
- Support the vision and mission of both institutions, bringing a strong sense of collaboration to support faculty and staff
- Process supply orders through both UT Dallas and UTSW procurement portals. Assist as needed with monitoring ledgers for various accounts, including reviewing expenditures and encumbrances, and ensuring proper use of funds
- Take, transcribe, and distribute meeting minutes
- Plan and coordinate meetings, appointments, conferences, seminars, and workshops
- Work includes arranging for meeting facilities outside of TI-BMES building, hotel accommodations, transportation, refreshments, luncheons, etc.
- Maintain UT Dallas faculty calendars
- Function as a liaison between departments at both UT Dallas and UTSW, including Human Resources, Telecommunications, Purchasing, etc.
- Share responsibilities with UTSW administrative support staff for weekly inventory management and ordering for the breakrooms and emptying the refrigerators
- Manage laundry services for lab coats
- Front desk assistance with UT Dallas inquiries and guests
- Receive and distribute mail and packages, assist with coordination of equipment deliveries and installation
- Help resolve badge access issues
- Intermediate level computer skills, including but not limited to Microsoft Office Suite and Adobe Acrobat
- Strong written and verbal communication skills
- Ability to organize and prioritize work to meet deadlines
- Ability to document and assist in the design of operational procedures to assist faculty and staff with shared responsibilities at UT Dallas and UTSW
- Ability to lift up to 50 pounds
- Self-motivated, enthusiastic, and collaborative
