Full Salary Range: Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full hourly range for this position is $24.95 to $42.10/hr. The budgeted hourly range that the University reasonably expects to pay for this position is $28.00 to $31.38/hr.

Brief Summary of Job Duties:

The Program Manager helps with planning, implementing, and managing our portfolio of continuing education programs for domestic and international students. Working in a cross-functional environment with Programming and Operations teams, the incumbent is responsible for growing existing programs and creating new ones. The Program Manager is a converging point for instructors who teach PaCE courses, marketing, customer service and finance teams for the program. PaCE offers online, hybrid, hyflex, and face-to-face courses, and our portfolio ranges from business to coding and technology, and more. The Program Manager is responsible for the day-to-day operations associated with existing programs, overseeing instructor hiring and course scheduling as well as providing occasional assistance to conferences and special programs.

Required Qualifications:

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Continuing education in related field.
  • 1-3 years of experience in education, customer support or outreach.
  • 1-3 years solid experience with academic advising. 
  • Service orientation, active listening, critical thinking.
  • Demonstrated excellent interpersonal, verbal and written communication skills for collegial and professional exchanges with diverse audiences including students, parents of students, faculty, and staff.
  • Ability to function effectively as a member of a team as well as independently.
  • Able to execute numerous tasks with demanding time frames.
  • Solid knowledge of MS Office Suite, Google Suite, Zoom software.
  • Demonstrated ability to develop budgets.

Preferred Qualifications: 

  • Solid knowledge of PaCE business processes including: Course/ program development from conception to implementation; Marketing strategies; Procurement (contracts and purchasing); Onboarding of instructors; Client support (students, instructors, agencies); Client/student retention strategies; Program budgeting..
  • Solid knowledge of Destiny One student lifecycle management software
  • Solid knowledge of Customer Relationship Management (CRM) software and/or ticketing system.

Job Functions and Percentages of Time:

 

70% Program Management & Administration 

  • Analyzes strengths and weaknesses of existing programs and making recommendations to ensure their continued success. 
  • Works with Extension Marketing staff to meet catalog and other marketing/promotion deadlines and develop marketing and promotional campaigns for a variety of academic programs. 
  • Works with Extension Program Support staff to establish course schedules, locations, audiovisual needs, coordinate textbook ordering and the production of other course materials, including instructor syllabi and reading lists, that meet Extension policies, procedures, and deadlines. 
  • Reviews course and instructor evaluations and addressing areas in need of improvement. 
  • Works with Extension Finance staff to recruit, select, and orient qualified new and returning instructors for Extension administrative policies and procedures for academic programming, and to monitor, evaluate, and resolve any instructor related problems.
  • Ensures that instructor salary, honoraria, and other related expenses, as well as instructor contracts and other payment forms, are processed and issued in a timely manner, and in conformance with Extension policies and procedures, including ensuring entry of correct data in the central Extension database, and resolve problems related to these issues; and tracks, reviews, and properly identifies all course- and program-related revenue and expenses. 
  • Works with Extension Student Service staff to counsel students regarding courses and other assigned academic programs and certificates. 
  • Interfaces and coordinates with Extension administrative and off-campus staff to prevent and resolve logistical and student service problems and issues related to instructors, students, and academic programming. 
  • Maintains relations with various professional associations for providing student scholarships. 
  • Creates, organizes, reviews and proofs all catalog and brochure copy applicable to new and continuing academic programs and meeting all Extension deadlines in these endeavors. 
  • Coordinates correspondence, letters of agreement, recharges, and other related program expenses.

25% New Program Planning & Development  

  • Researches demographics, statistical information, website data, and other viable sources of information to determine new and existing Extension four county (Kern; San Luis Obispo; Santa Barbara; and Ventura Counties) service area needs in continuing education programming. 
  • Monitors other private and public schools and universities for similar or competitive programs that could directly affect the market base. 
  • Presents information and models and working with Extension Marketing staff to suggest marketing strategies for developing and implementing new certificate and other academic programs that target and reach new audiences. 
  • Works with the CE to recruit advisory councils for assistance in program development and coordinates meetings as needed to develop specific directions for new programs. 
  • Assists the CE in designing curricula, creating course titles and drafting course descriptions. 
  • Works with Extension Finance staff to develop program budgets and establish course fees that result in profitable programs that adhere to Extension and campus policies and procedures. 
  • Coordinates with international, national, and regional organizations to ensure certificate and other continuing education standards meet requirements and works with these organizations on co-sponsorship arrangements. 
  • Recruits and hires instructors and works with Extension Finance staff to issue and enforce contracts that adhere to Extension, campus, and university policies and procedures.

 

5% General Duties 

  • Working as a team member, provides input regarding facilitating and expanding assigned academic programs and integrating these programs, whenever possible, with other Extension continuing education programs and audiences. 
  • Attends meetings and engages in other activities in coordination with Extension business and strategic planning.
