Departmental Overview

As a central service center for the entire campus, the Graduate Division works to guide and assist students from the moment of admission, through the various milestones of their progress, to the completion of their degree requirements. We provide academic, personal, and professional support services that are vital to the everyday well-being and life-long successes of Berkeley master's, professional, and doctoral students.

 

As the authoritative resource and chief advocate for graduate education, the Graduate Division ensures the equitable administration of policies governing graduate studies across Berkeley's 14 schools and colleges. As the administrative arm of the Academic Senate's Graduate Council, we partner with the faculty and staff of each program and the deans of each school and college to maintain the world-renowned quality of Berkeley's graduate education. The Graduate Division includes the Office for Graduate Diversity, which is comprised of a highly specialized team that develops, guides, and implements campus-wide graduate diversity programs and initiatives.

Responsibilities

As a member of the Graduate Division's Office for Graduate Diversity team, the Graduate Pipeline Coordinator will administer the Growing Our Own initiative of the University of California, Berkeley, paying special attention to the recruitment of graduate students to increase the number and proportion of UC undergraduate degree recipients who earn an academic doctoral degree, and to increase the number and proportion of UC doctoral graduates from UC, California State University (CSU), other Hispanic-Serving Institutions (HSIs), Historically Black Colleges and Universities (HBCUs), and Tribal Colleges and Universities (TCUs). With this initiative, UC aims to build sustainable pathways for students from first-generation, low-income, and underrepresented groups to the professoriate in California and beyond. 

The Graduate Pipeline Coordinator will serve as a critical partner for initiatives with undergraduate programs and colleges. The incumbent will staff campus-wide workgroups and initiatives coordinated by the Office for Graduate Diversity (OGD) and bring valuable analytical skills to working with campus and institutional partners. Some travel is expected. The incumbent is supervised by the Assistant Director of OGD, with a dotted line reporting relationship the UC Berkeley Growing Our Own Campus Lead.

Key Responsibilities:

Advising on Admissions and Graduate School Preparation (10%)

• Applying professional student services and higher education concepts and theories, provides the full range of student services to the student population served by the Office for Graduate Diversity.

• Advises prospective graduate students on the admissions process, and the standards and norms specific to the student's field of study

• Advises on summer research programs

• Develops and maintains a network of UC Berkeley departments and regional firms interested in hosting summer research students.

 

Graduate School Recruitment and Yield (50%)

• Plans and implements outreach programs with such as UC, California State University (CSU), other Hispanic-Serving Institutions (HSIs), Historically Black Colleges and Universities (HBCUs), and Tribal Colleges and Universities (TCUs) as outlined in the Growing Our Own Grant (later referred to as “specifically targeted institutions”).

• Utilizing in-depth knowledge of the organization's admissions criteria, initiates and arranges student recruitment visits; connects prospective graduate students with graduate programs and faculty.

• Identifies and cultivates relationships with undergraduate institutions and research programs to build sustainable pathways for students from first-generation, low-income, and underrepresented groups to the professoriate.

• Attends and coordinates travel and registration to recruiting events in California and nationally, representing UC Berkeley graduate programs.

• Coordinates, designs, plans and delivers programs and workshops to support prospective graduate students, such as the Graduate Diversity Admissions Fair and Ph.D. Admissions Bootcamp in collaboration with campus and Division stakeholders.

• Collaborates with internal campus and external organizations or colleges/universities to plan and implement complex, high-visibility student events, such as campus visits and presentations to establish recruiting relationships with specifically targeted institutions.

• Facilitates administrative and logistical processes around travel and registration for recruiting and yield events. Schedules and coordinates meetings and appointments. Orders and maintains inventory of supplies.

• Provides editorial support for recruitment brochures and material.

 

First Point of Contact (20%)

• Greets visitors, answers and screens telephone calls, screens and responds to mail and email.

• Responds to requests for information and provides assistance. 

• Composes substantive correspondence and written materials.

• Performs additional functions incidental to office activities. 

• Serves as principal source of information to prospective students, staff, and faculty on policies, procedures, programs and office activities. 

• Contributes to and may serve as office representative for orientation of new students

 

 Data and Reports (15%)

• Compiles, synthesizes and manipulates data. Summarizes findings and writes reports, contributes to grants and other manuscripts. 

• Oversees the preparation of materials for grants, contracts and budgets.

 

May supervise staff (5%)

 

Required Qualifications 

  • Working knowledge of advising and counseling techniques.
  • Strong organizational skills with ability to manage priorities with a high level of accuracy and attention to detail.
  • Knowledge of strategies in admissions, outreach, recruitment, and yield.
  • Ability to represent the Office, Division and school professionally at local and national events.
  • Solid verbal and written communication skills. Candidates are strongly encouraged to provide a cover letter. 
  • Interpersonal skills including active listening and critical thinking skills
  • Multicultural competencies; ability to work with diverse populations; ability to work with diverse populations; knowledge, experience, and sensitivity to the needs of diverse undergraduates, graduates and faculty including first generation college scholars, and others from minoritized backgrounds.
  • Ability in problem identification and reasoning; ability to develop original ideas to solve problems.
  • Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance.
  • Bachelor's degree in related area and/or equivalent experience/training.

 

Preferred Qualifications

  • Previous experience and skills in project management and event planning
  • Graduate degree

 

Salary & Benefits

This is a 2yr, full-time (40 hours/week), contract appointment, eligible for UC benefits with the possibility of extension. This is a monthly paid, exempt position.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. 

The budgeted salary that the University reasonably expects to pay for this position is $71,898.00 - $80,129.00.
