Department Overview
Academic Affairs builds on the energy and academic strength of UC's campuses to enhance the system's educational impact. Position Summary
Working closely with the provost's immediate office team, the Events Manager will plan and execute both small- and large-scale events and meetings involving the UC provost to further the provost's and the university's priorities. The Events Manager will have primary responsibility for scheduling, coordinating and managing divisional events, including major summits and meetings with attendees from all 10 UC campuses. In addition, the Events Manager will be expected to provide advance and staffing support to the provost as needed for events and meetings. The role requires occasional local and state travel (within California). The ideal candidate is a sharp, proactive, detail-oriented and highly organized professional. They will use their skills and experience to collaboratively plan and execute the provost's engagements, from tracking logistical details to working with internal and external event partners to ensuring that big-picture issues, initiatives and themes are accounted for in the planning process. 

Key Responsibilities

100% Event Management: Under the supervision of the Chief of Staff, conducts comprehensive event planning for complex events, including conception, design, development, coordination, implementation and post-event evaluation. Coordinates with other organizations and leaders, providing advance and real-time problem-solving, coordinating event communication plans, and advising senior leadership on sensitive issues related to these engagements. Ensures smooth-running, effective events using tact, sensitivity, discretion and political acumen. Consults and advises administration, as well as community partners on all aspects of event planning and management. Directs multiple service contractors and subcontractors. Performs any necessary advance work before an event or meeting, such as site walk-throughs and logistical coordination. Develops and maintains comprehensive event budgets and ensures that event costs do not exceed budgeted allocations. Coordinates with other UC Events professionals.

  • Knowledge and skills to apply event management principles, practices and techniques in support of effective event management, particularly high visibility, high impact, high risk events.
  • Familiarity with the University, including its vision, mission, goals, objectives, achievements and infrastructure.
  • Advanced public relations skills.
  • Advanced long-range planning, project management and organizational skills.
  • Advanced interpersonal communication skills to build and maintain relationships at all organizational levels and with a variety of publics.
  • Highly developed political acumen skills and social perceptiveness to successfully meet the needs of guests and ensure guest satisfaction for events.
  • Advanced judgment, decision-making and problem recognition / avoidance / resolution skills.
  • Proven success in exercising sound independent judgment. 
  • Ability to maintain confidentiality, and act with tact and discretion with sensitive information.
  • Advanced skill in meeting goals and objectives within budget and time constraints.
  • Ability to establish a strong network of contacts to build knowledge about events and programs to secure support for department needs.
  • Proven ability to view tasks from varying perspectives. 
  • Ability to integrate day-to-day operational knowledge and recommend effective short and long-term policies and procedures.
  • Proven skills to apply principles of personnel management to plan, organize, motivate staff and volunteers.
  • Proven experience in providing guidance and advice in all aspects of event planning, implementation and evaluation.
  • Experience developing accurate event budgets; ability to forecast expenses and income.
  • Experience and knowledge in effective contract negotiation and strategies.

Full Salary Range:
$85,800 - $158,200

The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range shows the growth potential for this position and the pay scale is the budgeted salary or hourly range that the University reasonably expects to pay for this position.
