Department Description

The School of Veterinary Medicine consists of 6 academic departments, the teaching hospital and 6 centers of excellence. The SVM has an annual research budget of $63M. This position will be the primary support for two departments: Anatomy, Physiology and Cell Biology and Molecular BioSciences with a faculty count of 45 and over $12M annually in new grant funding. Academic population is 29 Senate and 17 Federation faculty members. This position will serve as the primary contact for two Academic Departments as it relates to purchasing, travel, and accounts payable.


Job Summary

Under general supervision, responsible for the procurement of major scientific equipment, computer software/hardware, laboratory equipment/supplies, license agreements, service agreements, and office supplies for the faculty research program and administrative units within the School of Veterinary Medicine. Also responsible for all accounts payable including, reconciliation of orders, packing slips and invoices; for processing of all invoices and credit memos; direct charge reimbursements; and travel and entertainment reimbursements utilizing FISDS, KFS, Connexus, Aggie Travel and AggieEnterprise.

Additionally, will be the primary contact for the Pre-Purchasing system for both departments.

PHYSICAL DEMANDS

  • Move packages and items weighing up to 25 lbs.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Experience using an automated accounting system to process a variety of purchasing and accounts payable documents.
  • Experience with an online purchasing system.
  • Experience with purchase orders, invoices, entertainment expense reimbursement, travel.
  • Experience providing administrative and business office support in an academic, business, or similar environment.
  • Experience operating a personal computer.
  • Experience with Excel, Word, and database programs for spreadsheets, word-processing, time reporting and reports.
  • Experience with general accounting terminology and practices.

Minimum Knowledge, Skills, and Abilities (KSA):

  • Skills to perform mathematical calculations and operate a 10 key calculator.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:    

  • Experience with UC Davis automated accounting systems.
  • Experience using DaFIS, MyTravel, Kuali, e-mail, calendaring and various web browsers.

Preferred Knowledge, Skills, and Abilities (KSA):

  • Knowledge and experience with UC Davis online Prepurchasing System.
  • Skill to proofread and correct errors.
  • Skill to evaluate situations, make decisions and adjust priorities to meet deadlines.
  • Organization, planning, and time management skills.
  • Knowledge to provide directions and disseminate information.
  • Interpersonal and communication skills to interact with persons of differing backgrounds/cultures; to handle difficult or sensitive situations with diplomacy; and to communicate in person and over the telephone.
  • Organizational skills to establish and prioritize workload; to coordinate a variety of large projects concurrently with critical deadlines; and to adjust shifting priorities with flexibility in handling and meeting competing demands and attention to detail.
