    Position Summary:   Dept of Physics & Astronomy is one of the largest academic departments in the School of Physical Sciences at UCI, with 53 faculty, 76 non-senate academics, 15 career staff and 181 graduate students. Physics lies at the forefront of our understanding of nature. It includes the study of the universe on the largest scales – astronomy and cosmology, and on the smallest – the physics of quarks and leptons. In addition, physics provides the background for high technology; lasers, nuclear power, semiconductors, and medical imaging all have their roots in physics. At the UCI Department of Physics & Astronomy, world-renowned physicists study exciting topics like extrasolar planets, quantum mechanics, gravitation, the big bang, black holes, magnetism, and superconductivity.

 

Under general supervision, incumbent reports to the Senior Financial Analyst, Supervisor in coordination with the HR Analyst and AP Manager and works in a team environment. The incumbent is responsible for the general administrative support, as well as providing support in the human resources and academic personnel in Physics and Astronomy. Serve as department point of contact with International Center and work to ensure a smooth transition for all international scholars. Processes J-1 and H-1B visas, serves as department contact on all VISA-related inquiries. Serve as an additional department payroll contact, working closely with the HR/AP Manager, department managers. Coordinate departmental seminar programs, including all correspondence with visitors, travel arrangements, itineraries, etc. Verify visa requirements, travel and entertainment policies, and advise faculty and visitors about these. Coordinate department events, including booking venues, catering, and processing reimbursements. Manage front desk. Coordinate conference room schedules Hire, train, and schedule student assistants. Maintain departmental databases. Maintain the department website; track news related to the faculty and students and publicize that news on the department social media feeds. Independently compile various annual and quarterly reports.

The expected pay range for this recruitment is $27.34 - $29.96 (Hourly Rate). The Full Salary Range for the salary grade this position is assigned to is $27.34 - $39.18 (Hourly Rate).

  • Experience using Adobe Acrobat software. Knowledge of Thunderbird electronic mail application and UCI Canvas Ability to create graphic materials using software programs such as Adobe Photoshop. Ability to create, publish, and maintain simple web pages.
