DEPARTMENT OVERVIEW

UC Scout is a division of the UC Santa Cruz Extension. While UC Scout's home campus is located at 3175 Bowers Avenue in Santa Clara, the UC Scout team is a fully remote team, with individuals making occasional visits to the campus as needed. UC Scout serves high school students, providing online high school courses for students and curricula for educators.

UC Scout's growing team comprises six departments: instructional design, media, academics, support, outreach, and business intelligence. The team consists of approximately 50 full-time staff and 70 part-time employees. UC Scout works closely with UCSC Extension support staff, including IT, finance, and the office of the Dean to support UC Scout's goals.

JOB SUMMARY

The Assistant Academic Director serves as a critical support for the Director of Academics, who is responsible for the administration of the UC Scout Academics department. As a departmental leader, the incumbent oversees a variety of operational tasks and contributes to strategy.

The role involves ensuring compliance with internal department processes, course standards, and accreditation requirements, as well as managing academic policies to ensure consistency across academic staff. The Assistant Academic Director also oversees teacher professional development programs, including training, onboarding procedures, and resource development, while managing the recruitment of part-time course facilitation staff and curriculum developers.

The incumbent acts as a liaison for strategic projects related to educational technologies and instructional methods, collaborating closely with other teams and departments as necessary. Additionally, the role involves safeguarding UC Scout intellectual property and overseeing academic integrity measures, including coordinating proctoring and plagiarism detection tools/services and managing vendor relationships, as well as handling incidents of academic integrity violations.

 

APPOINTMENT INFORMATION

Budgeted Salary: $115,000 - $128,000/year.  Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

25% - Department Operations

  • Provide assistance to the Director of Academics in managing department operations, including workload pacing and assignments, workforce processes, and budget tracking.
    • Contribute to teaching staff performance evaluations.
    • Serve as recruitment manager for department positions, as assigned.
    • Address user concerns related to academic policies and personnel, under the guidance of the Director of Academics.

25% - Compliance Enforcement

  • Enforce compliance with internal academic department processes, course standards, subject standards, and accreditation requirements to maintain consistency across a large and growing catalog and pool of teachers. Oversee academic policies, ensuring they are properly implemented and consistently followed by all staff within the department.

20% - Workforce Development

  • Oversee teacher development programs, including:
    • Organizing and conducting critical training sessions for BYA and FTE teachers.
    • Facilitating onboarding procedures for new teaching staff.
    • Contributing to resources and training materials for ongoing teacher development.

15% - Workforce Management

  • Oversee and coordinate the recruitment and management of By-Agreement teaching staff and contracted curriculum developers, including:
    • Reviewing application materials.
    • Conducting interviews and reference checks.
    • Making selection recommendations.
    • Maintaining documentation and data trackers.
    • Ensuring payroll data is correct.

10% - Strategic Projects

  • Serve as a liaison for strategic projects related to new educational technologies, tools, and instructional methods and collaborating on initiatives with other teams and departments as appropriate.

5% - Program Integrity

  • Protect UC Scout intellectual property (IP) and oversee academic integrity measures, including:
    • Coordinating proctoring and plagiarism detection tools/services and managing vendor relationships.
    • Handling incidents of plagiarism/cheating and other academic integrity violations.

 

REQUIRED QUALIFICATIONS

  • Advanced degree in related area.
  • Master teacher with a strong knowledge of Common Core, iNACOLs, and College Board standards.
  • Advanced ability to communicate effectively in oral and written formats, think strategically, and participate in creative problem solving as an administrative leader.
  • Ability to provide effective learning experiences for students from a wide range of socio-economic and cultural backgrounds, and with varying mental, social and emotional maturity.
  • Highly skilled in performing research and development activities related to curriculum and instruction programs, pilot projects and innovative programs designed to enhance student educational opportunities and experiences.
  • Expert knowledge of principles, theories, methods, techniques and strategies pertaining to teaching and instruction.
  • Experience in managing escalated and sensitive situations with customers or staff, with deep knowledge of deescalation and conflict resolution tactics.
  • Expert knowledge of principles, theories, methods, techniques and strategies pertaining to online course management.
  • Expertise in facilitating and creating course materials within an online Learning Management System.
  • California Clear Single Subject Teaching Credential.

 

PREFERRED QUALIFICATIONS

  • Skills in designing and managing workforce onboarding and ongoing development programs.
  • Deep knowledge of UC Scout policies and processes, and ability to model and enforce internal standards of staff conduct and output.

 

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Selected candidate will be required to successfully complete a pre-hire criminal history background check and a pre-hire credentialing check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • This is a fully remote position, and the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Ability to work occasional evenings and weekends as directed.
  • Ability to respond to emergencies after hours as necessary.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to travel nationally.
  • Ability to maintain appearance and conduct suitable for working in a professional setting.
