Summary of Job Duties: The Program Coordinator provides primary administrative support and oversight for the administration of the Psychiatry Clerkship, M4 Psychiatry Electives and Forensic Psychiatry Fellowship. This includes administering the program, assisting with curriculum development; compilation of grades and evaluations; reviewing, analyzing, and disseminating program data collected to ensure continuous improvement and accreditation, website management, and communication with students, physicians in the program, faculty, other administrators within the institutions and the country. For Graduate Medical Education (GME), this individual will manage the day-to-day operations of the Forensic Fellowship program to contribute to the success of the program through support of the program director in accreditation efforts, educational programming, and support of fellows.
Qualifications:

Bachelor's degree plus two (2) years of administrative or program coordination experience or

High School diploma/GED plus six (6) years of administrative or program coordination experience required.

Knowledge, Skills & Abilities:

  • Computer experience and the ability to learn additional programs as needed.

  • Experience with O2 (Oasis), New Innovations and ACGME ADS.

  • Excellent communication skills: written, verbal, listening.

  • Must be able to interact well with others one-on-one and as part of a team.

  • Ability to set priorities and maintain a high level of organization while managing multiple deadline.

  • Possess a high degree of initiative for independent work.

  • Demonstrate attention to detail, accuracy and thoroughness.

  • Handle sensitive information with absolute confidentiality.

Preferred Qualifications:

  • Knowledge of and experience in managing complex information and computer systems- like Workday, Microsoft office and other web-based applications.

  • Experience with student affairs or graduate medical education.


Additional Information:

 

Responsibilities:

  • Schedules student clerkship orientation, didactics, NBME; reserving rooms for the same.

  • Assists students with access/logins required for the various sites and ensuring access to all necessary software (Blackboard, UWorld, Exam-Soft, Boards & Beyond); Ensuring student pre-rotation requirements for each site have meet met.

  • Prepares and maintain didactic schedule.

  • Maintains O2 (Oasis) for all student activities (rotations, calendar, evaluations, didactics, conferences, grades, clerkship reports).

  • Maintains on-going communication with site coordinator at the VA and NWA campus to ensure smooth operation of the clerkship at all sites/campuses.

  • Responds to inquiries and provide basic interpretation of policies and procedures. Maintain ongoing communication with the clerkship director to resolve problems or issues.

  •  Schedules/proctors the NBME in coordination with COM. Arrange for make-up exams and schedule with Library Testing Center. Compile and enter grades from NBME, UWorld, quizzes, other assessments, and clinical performance evals into the gradebook in O2.   

  • Coordinates administrative processes and respond to business matters involving administrative functions associated with education to remain in compliance with LCME requirements.

  • Ensures every rotation site has appropriate credentialing/liaison paperwork and all adjunct faculty are up to date on their appointments/access to O2 for completion of clinical performance evaluations.

  • Manages all aspects of M4 senior electives utilizing O2 (Oasis) for scheduled monthly electives, evaluations, grades and the AAMC Visiting Student Learning Opportunities (VSLO) program for visiting student elective rotations.     

  • Manages student access to software, buildings, pre-rotation mandatory requirements.

  • Remains an active member of the Clerkship Administrators Committee for the national organization Association of Directors in Medical Student Education in Psychiatry and attend their annual meeting.

  • Participates in the monthly coordinator's meeting facilitated by the COM at UAMS. Attend ACGME annual meeting for new GME program coordinators.

  • Participates in monthly GME program coordinators meetings.

  • Uses information gained from meetings, evaluation forms from O2 (OASIS), other COM's education coordinators, input from other department leadership and faculty to continually improve the program and materials to satisfy needs.

  • Researches and implements new content delivery models based off this feedback.

  • Provides cross coverage for the GME Program Coordinator.

  • May perform other duties as assigned.
