Summary of Job Duties: The Education Coordinator is located in the Office of Education in the Department of Pediatrics. Under the direction of the Clerkship Director and Office of Education leadership team, this position is responsible for planning and coordinating all student educational activities in the department. The position provides a key contact for all students as they rotate through the Department of Pediatrics and are recruited to pursue Pediatrics as a career. Specifically, this position is responsible for coordination of all M3 and M4 medical student educational activities as well as visiting medical students from other institutions.
Qualifications:
  • Bachelor's degree in Business, Education or related field plus three (3) years of administrative experience or

  • High School diploma/GED plus seven (7) years of administrative experience required.

Knowledge, Skills & Abilities:

  • Functional in Microsoft Office products (Outlook, PowerPoint, Access, and Excel).

  • Able to learn additional programs as needed.

Preferred Qualifications:

  • Experience with Workday.

  • At least one (1) year experience working with medical students, residents, or fellowships.


Additional Information:

Responsibilities:

  • Serving as primary contact for the students.

  • Organize and distribute the scheduling of 40 core lectures for 25-30 students per 8 week rotation.

  • Maintain student lecture attendance record for each block.

  • Coordinate the assignment of students to the 7 inpatient teams, 11 outpatient clinics at ACH, and the UAMS Nursery.

  • Distribute and collect evaluations for approximately 150 students during the academic year.

  • Proctor quizzes and exams and maintain confidentiality and chain of command for security of grading system.

  • Assimilate and submit written evaluation comments to the Dean's Office for approximately 150 students.

  • Submit preliminary and final grades to the Dean's Office with approval from the JMS Clerkship Director.

  • Update senior elective manual each year with current information.

  • Provide and send elective schedule packets for M4s every 4 weeks for electives.

  • Provide the schedule assignments to faculty with M4 electives.

  • Submit final grades and evaluations to Dean's office.

  • Maintenance of computer databases and programs, specifically Oasis for medical students, Blackboard and VSAS.

  • Responsible for the accreditation process for all Continuing Medical Education (CME) related lectures.

  • Arrange for audiovisual equipment and/or other logistics as needed.

  • Maintain a file for each CME activity offered during the current accreditation term that includes required documentation necessary for accreditation.

  • Communicate with potential CME speakers in advance of a CME presentation (Pediatric Grand Rounds, Peds Place, Schwartz Center Rounds, Pediatrics Hospitalist Journal Club, Pediatrics Emergency Medicine Medical Trauma Grand Rounds).

  • Prepare and distribute ACCME compliant announcements for each activity to all faculty and other staff (UAMS, ACH and other outside healthcare team members), to include program objectives and proper accreditation and credit designation statements.

  • Ensure that all CME activities meet compliance requirements (disclosures from speaker(s) and/or planners and planning committee.

  • Coordinate all travel/hotel accommodations and itinerary for invited guest speakers.

  • Process honorarium and reimbursement checks for speakers.

  • Provide onsite or virtual support for each activity including tracking attendance/participation, commercial support.

  • Schedule appropriate venue/room assignments for each given CME presentation, and order refreshments when appropriate.

  • Process Enduring Material application (every 3 years) and bi-weekly online modules.

  • Monitor quarterly activity reports for enduring material and submit to the UAMS CE Office for attendees.

  • May perform other duties as assigned.
