Summary of Job Duties: The Department Business Administrator within the College of Health Professions reports directly to the Associate Dean of Administration and assumes responsibility for various duties aimed at supporting the efficient functioning of 14 academic programs. These responsibilities include: Management of purchasing workflows encompassing requisitions, orders, and invoices. Preparation and processing of travel authorizations, accommodations, and reimbursements. Preparation and processing of contracts and affiliation agreements. Provides administrative support for research projects and grants. Manages special events including scheduling the facility, planning break/lunch menus, and other detailed arrangements. This role operates within a collaborative team environment and receives assignments from the Associate Dean of Administration based on program or departmental needs.
Qualifications:
  • Bachelor's degree in Business Admin, Organizational Management, Office Admin, or related a related field plus four (4) years of progressive administrative/office experience. 
  • Must be proficient with Microsoft Office programs, including Outlook, Word, SharePoint, Forms and Excel.
  • Must have good communication skills.
  • Must be detailed oriented, self-directed, motivated, team-oriented, have ability to multi-task, possess strong organizational skills, problem-solving skills, time management, excellent written and oral communication and interpersonal skills.

Preferred Qualifications

  • Master's in business administration, health administration, or related field plus two (2) years of applicable experience
  • Grants management certification.
  • Experience with Workday is preferred.


Additional Information:

Procurement, Travel, Inventory and Financial Reporting:

  • Manages purchasing workflows encompassing requisitions, orders, and invoices.
  • Responsible for reconciliation and clearing encumbrances.  
  • Prepares and processes contracts and affiliation agreements.
  • Prepares and processes travel authorizations, accommodations, and reimbursements.
  • Communicates with vendors, hotels, airlines and other external stakeholders to ensure most cost effective option. Communicates with institutional foundation administration.
  • Prepares and disseminates financial reports. Collects and deposits money received following the UAMS/CHP Cash Handling Procedures.  

Research Coordinator Supports faculty with administrative aspects of research, and scholarly activity including semi-annual reporting.

  • Communicates with participants. Acts as point of contact for communication, scheduling, and reporting.
  • Manages special events including scheduling the facility, planning break/lunch menus, and other detailed arrangements.
  • Reserves space in accordance with institutional schedules.
  • Attends all grant administration meetings. Communicates with Grants Administration Team and Grants Accounting. 

College Event Coordinator

  • Manages special events including scheduling the facility, planning break/lunch menus, and other detailed arrangements.
  • Communicates with vendors.
  • Manages purchasing workflows related to events. 
  • Other duties as assigned
