Position Summary:

 

The Office Administrator / Building Support Specialist ensures the smooth, day-to-day operation of Tetra Tech's Ann Arbor office. This role provides comprehensive facilities support, vendor coordination, supply management, and administrative assistance to multiple operating units. It's ideal for a proactive, hands-on professional with excellent organizational and communication skills who thrives in a collaborative, team-oriented environment.

 

 

Essential Job Functions:

 

The following duties are considered essential to the role. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions:

 

  • Serve as the primary point of contact for all building-related issues, including HVAC, plumbing, lighting, and general maintenance.

  • Coordinate with the landlord, maintenance vendors, and cleaning services to ensure a safe, functional, and well-maintained work environment.

  • Open and prepare the building each morning; monitor the cleanliness and functionality of shared spaces.

  • Order and maintain office, IT, janitorial, and kitchen supplies.

  • Manage shipping, postage, and package handling (FedEx, UPS, USPS).

  • Maintain and service office equipment, including printers, copiers, and postage machines.

  • Support IT setup, troubleshooting, and coordination with the Tetra Tech Help Desk.

  • Manage building access and security (key fobs) for new and departing employees.

  • Coordinate off-site storage, file archiving, and retrieval processes.

  • Support office safety and emergency preparedness, including monthly safety checks, AED testing, and restocking of supplies.

  • Perform minor facility repairs and general handyman tasks as needed.

  • Provide administrative support such as document processing, printing, scanning, and binding.

  • Assist with internal office events, staff training sessions, and employee engagement activities.

 

Required Qualifications:

  • Strong organizational, problem-solving, and communication skills.

  • Ability to work independently with minimal supervision.

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).

  • Strong typing and general computer skills.

  • Dependable, adaptable, and detail-oriented work ethic.

  • Ability to lift and carry up to 40 lbs.

  • Valid driver's license and reliable transportation.

 

 

Preferred Qualifications:

  • High school diploma or equivalent required; associate degree or coursework in business administration, facilities management, or a related field preferred.

  • Minimum of 5 years of experience in office administration, facilities coordination, or a related field.

  • Experience with ordering systems (Amazon Business, Smart Office, etc.).

  • Basic handyman or maintenance skills.

 

 

Physical Requirements:

  • Frequently required to sit, stand, walk, bend, reach, and move throughout the office and building.

  • Regularly operates a computer and other standard office equipment (e.g., copier, printer, scanner, postage machine).

  • Occasionally required to climb stairs and move building areas.

  • Must be able to lift and carry materials and supplies weighing up to 40 pounds.

  • Occasionally required to perform light maintenance or minor repair tasks involving reaching, stooping, or using hand tools.

  • May need to transport packages, supplies, or equipment between storage areas, offices, and vendor locations.

  • Must be able to communicate effectively in person, over the phone, and via computer systems.

 

 

Work Environment / Environmental Factors:

  • This position operates primarily in a professional office environment with standard office equipment and systems.

  • The role occasionally requires exposure to variable indoor temperatures when inspecting building areas such as storage rooms, mechanical spaces, or loading docks.

  • May occasionally work outdoors when coordinating vendor access, deliveries, or building maintenance activities.

  • The noise level in the work environment is generally moderate but may vary depending on maintenance or repair activities.

  • The role involves regular interaction with vendors, building personnel, and office staff.

 

 

Additional Information

  • This position is a full-time, in-office role based in Ann Arbor, MI.

  • Standard schedule is Monday through Friday, during regular business hours. Core hours for this position are from 7:00am to 3:30pm.

  • Occasional flexibility may be required to support office events, maintenance visits, or vendor scheduling outside standard hours.
