Project Summary

Tetra Tech is providing energy expertise and related technical and material assistance to the Government of Ukraine. This project focuses on enhancing the resilience, reliability, affordability, and security of the electricity, natural gas, and district heating sectors. The scope of work includes addressing immediate challenges and physical damage to energy infrastructure, as well as preparing for Ukraine's post-war reconstruction and long-term energy security.

 

Position Summary

Tetra Tech is recruiting for an Administration Specialist who will provide essential administrative support to ensure the efficient and effective operation of program activities in Ukraine. This role will encompass a wide range of responsibilities, from property management to emergency coordination and logistics. The Administration Specialist will play a vital role in maintaining a well-organized and productive office environment. The position will report to the Administration Manager. This is a full-time position for Ukrainian citizens, to be based in the Kyiv office. Occasional travel around Ukraine may be required.

 

Position Responsibilities

  • Manage office supplies, including tracking office supply inventory and placing orders as necessary 
  • Manage the registration of incoming and outgoing correspondence 

  • Oversee postage, courier services, and document exchange between the home office and project office, employees, vendors, clients, etc. 

  • Help collect original payment documents 

  • Assist with travel logistics, transportation, and accommodation reservations 

  • Assist in organizing in-house and external meetings, workshops, and training activities 

  • Assist supervisors to identify areas for administrative process improvements and recommend changes 

  • Help prepare and format administrative documents and reports 

  • Provide administrative orientation during the onboarding of new program staff 

  • Provide administrative support for relevant procurement processes 

  • Ensure compliance with program administrative policies and procedures 

  • Maintain a clean, healthy, and organized office workspace 

  • Perform additional duties as assigned by the supervisor 

 

Required Qualifications

  • Bachelor's degree in business administration, finance, legal, or other relevant fields 

  • 3 years of relevant administrative or operations experience 

  • Fluency in Ukrainian and proficiency in English 

  • Strong writing and communication skills 

  • Good organizational skills and teamwork  

  • Ability to manage and prioritize multiple tasks 

  • Proficiency in Microsoft Office Suite 

 

 

Line Management Responsibility: N/A 

Physical Demands and Work Environment: This position will require regular attendance at the office in Kyiv and may entail occasional travel within Ukraine for interaction with local stakeholders.
