Overview

The Vermont Division of Fire Safety is seeking a team-orientated individual with very strong customer service, interpersonal, and administrative skills to join our team as Administrative Services Coordinator II in the Waterbury Regional Office. This position will be involved in the daily office operations. The candidate must be able to multitask efficiently and have strong computer and technical skills. Work is performed with considerable independence under the general supervision of the Regional Manager.


Duties will include but are not limited to:

  • Providing customer service to walk in customers
  • Review, respond or delegate response to incoming emails
  • Answering phone calls 
  • Receiving and processing complaints 
  • Sending deposit information to the accounting office daily.
  • Completing financial deposits
  • Ordering office supplies
  • Maintain paper and computer files as needed
  • Gathering and preparing files relating to Freedom of Information Act Requests.
  • Perform data entry for incoming inspection data as needed. 
  • Provides proof of inspection stickers and maintains accurate record of sales.
  • Receives and reviews for completeness all permit applications for new construction and renovations of public buildings.

 

Work is completed in an office setting interacting with the public on a daily basis for which remote/teleworking is not an option.

PUBLIC SAFETY BACKGROUND CHECKS: Candidates must pass any level of background investigation applicable to the position to include Motor Vehicle/Criminal Records, Personal History, Credit and any additional background check(s).

Work is performed in a standard office setting.

Minimum Qualifications

Three years or more of full-time college level study OR a bachelor's degree in accounting, business or public administration, office administration or a related field.

OR

Two years of full-time college level study OR an associate's degree or higher in accounting, business or public administration, office administration or a related field AND one (1) year or more of experience providing administrative-level support to a business or organization.

OR

One year of full-time college level study in accounting, business or public administration, office administration or a related field AND two (2) years or more of experience providing administrative-level support to a business or organization.

OR

High School diploma or equivalent AND three (3) years or more of experience providing administrative-level support to a business or organization.

OR

One (1) year or more of experience as an Administrative Services Coordinator I with the State of Vermont.

Special Requirements

For some positions experience working with the VISION system (VISION is the State of Vermont PeopleSoft financial management system) may be required.
