Job Description
Main Purpose of Role
To provide a multitude of functions within DMD Outbound Processing across multiple print and despatch functions. There is a requirement to be flexible as the candidate could be asked to move between processing teams within DMD as business needs require. The below details requirements for the various processes:
Stock Control
To review, maintain and replenish stock levels on behalf of our Management Companies, at a level appropriate for this grade:
- Complete and act upon a weekly stock reconciliation
- Liaise with external print supplers to replenish stock levels
- Accurately maintain detailed excel spreadsheets to evidence stock levels
- Proactively liaise with external print suppliers to replenish stock levels
- Matching of Literature to manually composed letter templates across multiple Management Companies
Printroom
To carry out all correspondence printing and related processes within DMD in line with SS&C and regulatory guidelines, at a level appropriate for this grade.
- Contribute towards developing robust controls for new print services delivered as part of SS&C's Print Strategy Programme
- Diligently follow print procedures to maintain high levels of accuracy for our clients
- Accurately record production figures
- Operating of Xerox printers in line with procedures
- Raise and escalate printer issues with external vendor
- Cheque Printing Process in line with APAC's standards
- Investigate file discrepancies in an efficient and controlled manner
- Contribute towards new initiatives being implemented as part of SS&C's Print Strategy programme
Inserter Room
To carry out all correspondence despatch and related processes within DMD in line with SS&C and regulatory guidelines, at a level appropriate for this grade.
- Diligently reconcile all printed correspondence prior to despatch
- Highlight any discrepancies identified and manage through to completion
- Accurately record outgoing correspondence figures
- Operate Quadient mailing machines
- Operate Quadient franking machines
- Log all mailing figures accurately to ensure correct invoicing by external mailing provider
- Update external portals with daily volumes for collection from external mailing providers
Additional requirements
The role requires the incumbent to train within the print and inserter room. The role requires a high deal of flexibility due to varying workloads and high priority service level agreements that require meeting on a daily basis.
The applicant must display a very strong attention to detail and ability to diligently follow documented procedures, as well as displaying a strong team ethic.
- Process Management to ensure processes and procedures are appropriately adhered to.
Working with Peers to improve overall processes and quality within the department. All client correspondence are despatched within the agreed SLA. Meet daily/weekly/monthly objectives set by your Team Leader/Manager
- Additional responsibilities - Complete any other appropriate ad hoc tasks as directed by your Manager or Team Leader

Qualifications, Skills & Experience:
- Basic keyboard skills to include awareness of MS Office packages. (Essential)
- Good Verbal reasoning and numeric skills. (Essential)
- Experience in Financial Services Investment Industry. (Preferred)
- Degree level of education in relevant subject (optional)
- Good accuracy and attention to detail (Essential)
- Ability to work on own initiative when required (Strongly Preferred)
Knowledge
- Knowledge of ISA, Unit Trust, OEIC or Investment Trust administration (preferred)
