SAIC is seeking an Administrative Assistant to provide support on-site in the Pentagon in working as part of contract team with the Office of the Secretary of Defense (OSD), Office of the General Counsel (OGC).
The candidate will:
- Perform both general office duties (e.g., answering telephones, typing, and filing) and advanced administrative support activities that require independent judgment and a thorough knowledge of policies and procedures.
- Draft correspondence, memoranda requiring independent judgment as to content; compile and analyze information from a variety of sources to prepare reports; ensure correspondence accuracy, format, spelling, and grammar; assemble enclosures, attachments, and other reference documentation before submission of the information to superiors for concurrence, approval and signature; make minor corrections to incoming and outgoing correspondence, recommend format and content changes and, if necessary, return to originator for corrections; and develop read-ahead material when required.
- Review outgoing correspondence for signature or clearance for format, typographical accuracy, conformance with procedures instructions, and consistency with other material cleared or in preparation.
- Review correspondence and other materials prepared for the information and signature for appropriate content, coordination, and routing.
- Maintain files and records and perform office administrative duties to include copying and distribution, data input, and database management.
- Receive and examine incoming requests, reports, and correspondence.
- Track and coordinate all taskers within the office to ensure deadlines are met.
- Arrange travel for Government personnel in the DTS, including preparing authorizations and vouchers (local and non-local).
- Manage senior leadership calendars and organize office-level meetings, entrance into various locations, parking, materials, and equipment.
- Facilitate external meetings, working groups, and technical and operational challenge interchange meetings.
Qualifications
Qualifications:
- High school degree or equivalent.
- 5+ years of experience with knowledge of administrative and clerical functions, processes, practices, and procedures.
- Fluency with, and understanding of, DoD, Joint Staff, and the Military Departments standards of practice.
- Experience with the OGC data file system or similar filing systems.
- Possess exceptional oral and written communication abilities and the ability to read, interpret and understand documents.
- The ability to leverage established relationships with other DoD components and agencies.
- Proficiency with Microsoft Office Suite of Applications (Word, Excel, and PowerPoint) and common office software applications.
- Flexible team player and capable of interacting at all levels within the customer space as well as other parts of the defense community.
- Motivated, self-starter with the ability to accomplish tasks under pressure with limited supervision.
- Strong admin skills and a strong ability to multi-task.
- Flexibility to accommodate time-sensitive and mission-critical work.
Clearance Requirements:
- An active Secret Clearance.
- US citizenship.
