Job Summary

A Scheduling Analyst for Radiology will complete answering incoming telephone calls from both patients and physician practices who want to make Ambulatory Radiology Study appointments, including Interventional Radiology. This position is responsible for gathering/handling of patient medical records to coordinate procedures between the technical and medical staff. Additionally, management of Epic Work Queue requests for complex appointments and faxed orders is included. This role is a member of a team with inter-related skills, offering patients a prescribed path to access requested care. Communication skills in this role will project a professional image through voice interactions. Demonstrates an in depth ability to make detailed decisions and act appropriately. This position reports directly to the departmental Supervisor.

Accountabilities

  • Job responsibilities are assigned, based on area of training and work experience.
  • Receives patient and physician input from phone, fax, or computer work queues
  • Must be able to triage all incoming referrals for appropriateness and coordinates a visit that includes multiple resources, such as PAs, Radiation Oncology, and Interventional Radiologists.
  • Achieves approved service levels with call management and “Ready to Answer” rates where applicable
  • Ensures patients receive the proper pre-examination prep instructions and follows correct pre-exam protocol.
  • The Scheduler ensures that access to the interventional radiologist for the referring physician and patient is both timely and efficient.
  • The IRS coordinates the team, adding resources, physicians, nurses, PA's and anesthesia as needed for the patient along with pre-assessment appointments through an expedited channel to assure quality care in a timely and efficient manner.
  • Serves as a liaison between multidisciplinary teams and departments, referring physicians, support staff, nurses, technologists and patients. 
  • Provides non-clinical support to physicians, patients, and families ensuring all needs are met.
  • Triages calls from referring Health Care Providers and/or patients regarding problems/complications from procedures performed by the radiologists at facilities serviced by the radiologist. 
  • Assists with obtaining all required physician notes and diagnostic information such as pathology reports, laboratory results, radiology images, H&P's in preparation for patient visit.  Schedules any tests on VA and other patients required prior to patient being seen in/by Interventional radiology.
  • Schedule Ultrasound and Vascular cases as the need arises, Calls ordering doctor for corrected orders, Calls ordering doctor for creatinine. 
  • Schedules anesthesia cases needed for interventional radiology cases. Schedules pre-assessment appointment at correct location and verifies appointment with patient.   
  • Recognize and respond appropriately to emergency situations. Notifies appropriate persons in regards to unsafe conditions (electrical, fire, chemical, equipment) 
  • Manages to work alongside Clinical Radiology departments in a courteous and knowledgeable manner
  • Follow directed complex work flows to manage patient/physician requests
  • Engage Epic Cadence, EMR and Radiant applications
    • search/identify patient accurately
    • follow workflow and SharePoint guidance to accurately locate appropriate schedule time/place
    • complete registration and insurance documentation
    • provide patient pre-service instructions
  • Perform accurate review and transcription of orders via the OnBase faxed work queues, ensuring all requested orders are transcribed and scheduled within 24-48 hours of receipt
  • Transcription work must include all necessary demographic and clinical data (diagnosis, ICD10 and ABN) required for scheduling and completion of studies and testing.
  • Communicates with Physician Office representatives in a helpful, professional and efficient manner
  • Where applicable, performs insurance verification and patient portion estimates.
  • Cross train in starter, advanced and Interventional Work Queues ensuring accuracy and detailed decision making as assigned.
  • Follows set protocols for emergency and same day add-on testing and rescheduling
  • Submits concerns and questions to leadership when technical issues arise, or scheduling difficulties are experienced
  • Consistently demonstrates superior voice and data accuracy in all aspects of this job

Minimum Requirements

  • High school diploma or equivalent
  • 2 years Customer Service, preferably supporting medical customers in person, via phone, email or fax
  • Medical or Medical Terminology experience preferred
  • Call Center experience preferred
