Job Summary:
The Financial Aid Specialist position serves as the initial point of contact for all student and parent inquiries regarding the application process for federal, state, and institutional aid and is directly responsible for accurately responding to financial aid inquiries via the phone, in person, by mail, fax or email. Promptly and accurately reviews, processes, images, and disseminates documentation received daily.

Essential Job Functions:

  1. Serves as the initial contact for inquiries concerning financial aid via phone, email, or in person.
  2. Assist students with FAFSA completion inquiries.
  3. Timely responds to the majority of all incoming communications.
  4. Retrieves and distributes all incoming and outgoing mail.
  5. Inventories office forms and supplies to ensure their availability.
  6. Monitors and resends, if possible, all returned mail.
  7. Participates in financial aid workshops and seminars.
  8. Retains accurate student records; maintain student confidentiality by observing policies related to student privacy (FERPA).
  9. Completes all mandatory training and participated in a minimum of two professional development each year.
  10. Performs other duties as assigned.

Position Qualification

Minimum Qualifications:

 

Education:
Associate Degree or equivalent related experience with some college courses completed.

 

Work Experience:

  • The candidate will be a Customer service-oriented person who has experience working in an office setting in a fast-paced environment.
  • Three years of experience in a record-keeping/customer service environment or equivalent education.

Knowledge, Skills, and Abilities:

  • High degree of integrity; ability to work in a sensitive, highly confidential, and professional environment.
  • Must be adaptable to performing under moderate stress, imposed by frequent deadlines, peak workloads, and public/student contact.
  • Ability to handle multiple tasks and prioritize effectively.
  • Exhibit problem-solving skills beyond a set of instructions and adapt to changes when necessary.
  • Ability to handle multiple tasks and prioritize effectively with high degree of accuracy and attention to detail.
  • Ability to communicate diplomatically, clearly and effectively, both verbally and in writing to exchange information, give/receive instructions and respond to inquiries appropriately.
  • Strong interpersonal skills and sensitivity to a multicultural environment in an effort to work and communicate effectively with all students, faculty, staff and community partners.
  • High degree of initiative to work independently and also collaborate in a team environment.
  • Demonstrated knowledge of office technologies including but not limited to: office computers, fax machines, scanners, internet, Microsoft Office (Word, Excel, Access, PowerPoint, Outlook).
  • Ability to understand and adhere to institutional policies and procedures.
  • Must possess positive public relations skills and be student-centered.
  • Ability to accurately and expediently process and analyze detailed paperwork.
  • Ability to communicate clearly, and effectively (verbally and in writing) to exchange information, give/receive instructions, and respond to inquiries appropriately.
  • Working knowledge of college-level student records procedures, documentation, standards, and regulations (including FERPA).
  • Passion for assisting customers and representing the OSU-OKC and OSU brand with positivity and professionalism.
  • Demonstrated history of ethical and professional behavior.

Preferred Qualifications: 

  • Bachelors Degree.
  • Previous work experience in Higher Education and/or Financial Aid. 

Working Conditions:

  • Must be able to work flexible hours to include some nights and weekends.
  • Work will be performed in an office environment with a significant amount of public contact, in person, by telephone, via email, and various communication platforms.

 Physical Requirements:

  • During peak enrollment and processing periods, handle a high volume of phone calls and student inquiries.
  • Duties require extended periods of sitting, talking and listening.
  • Duties require extensive use of computers, telephone and other office equipment.
  • Requires possible lifting of up to 25 lbs. (If an object weights more than 45 lbs., OSU-Oklahoma City requires this to be a two-person lift).
