Job Summary:

The Director of Admissions serves as a key member of the student services leadership team and provides strategic planning, direction, and supervision of the admissions team and enrollment management efforts. This position is responsible for coordinating and assessing all activities related to student admission. Additionally, this position works collaboratively with campus departments such as Recruitment, Marketing and Communications, Academic Advisement, Financial Aid and Scholarships, Testing and Assessment, and the Office of the Registrar/Records in order to effectively admit students.  This is a functional supervisory position that is also charged with processing applications, maintaining international student immigration documents in the role of PDSO, residency status, communications planning and maintaining modules with the CRM system.

Essential Job Functions:

Strategic:

  1. Partner with Enterprise Systems and Business Intelligence to secure data reports that outline enrollment trends by division, degree and major.
  2. Develops, analyzes, implements, and manages a prospective student enrollment plan to process applications resulting in prospect conversion to enrolled student.
  3. Actively participate on the student services  leadership team, campus committees and professional organizations.
  4. Works effectively and collaboratively with all segments of the university community to manage student admission related operations and initiatives.
  5. Develops innovative proposals that engage the campus community in the new student onboarding process.
  6. Articulates knowledge of academic policies and procedures to internal and external colleagues and university partners.
  7. Serves as an institutional content expert on Oklahoma State Regents for Higher Education policies and procedures related to student admission and retention.
  8. Assists with campus-wide recruitment, retention, and diversity efforts.
  9. Represent OSU-OKC on system-wide and state-wide committees and/or organizations in support of inter-institutional policies, agreements, data management and reporting.

Operational:

  1. Effectively leads and supervises a professional Admissions staff, including but not limited to setting expectations and evaluating performance.
  2. Administers Admissions budget.
  3. Collaborates with other student services departments to develop, implement, and manage campus CRM initiatives and communications focused on student enrollment and retention.
  4. Identifies areas for improvement and implements solutions through continuous process improvement strategies.
  5. Collaborates with campus partners to identify, develop, and review key performance indicators, standard operating procedures, and process documentation; exhibits an understanding to this position's role in the campus semester plans.
  6. Provides oversight of admission publications, marketing materials, webpages, and social media platforms.
  7. Responsible for the administration of departmental technologies, software, and student information system (Banner) modules.
  8. Maintains understanding of and compliance with all state and federal laws, policies and procedures related to admissions, immigration, and enrollment.

Functional:

  1. Oversees institutional compliance with in-state/out-of-state status policies and manages the petition process for student residency evaluation and reclassification.
  2. Serves as the primary designated school official (PDSO) and assists international students in meetings and adhering to USCIS policy and regulations related to admission and OPT.
  3. Perform all admission related duties of direct reports as needed.
  4. Maintain CRM system processes for all admissions functions. Ensure that all modules are properly maintained and that processes are continuously streamlined.

Reporting:

  1. Develops, analyzes, implements, and manages assessment practices and prepares customized reports.
  2. Provides information required for various external compliance reporting. Coordinates the submission of specialized annual reports in a timely and accurate manner.
  3. Work closely and collaboratively with partners on campus to ensure accuracy of reporting data and determining proper data reporting structures.

4.      Completes all mandatory training and participates in a minimum of two professional development opportunities each year.

5.      Performs other duties as assigned.

Minimum Qualifications:

Education:
Master's degree

Work Experience:

  • Minimum of five to seven years progressively responsible work experience in a college Admissions office or related field.
  • Experience working with student information systems and customer relationship management (CRM) software.
  • Experience in an area related to higher education enrollment management.
  • Experience working in a fast-paced and customer service rich environment.
  • Experience working in both collaborative/team environments and in positions that require individualized work with minimal supervision.
  • Experience supervising or leading a team of individuals.
  • Experience supporting international student admissions processes.

Knowledge, Skills, and Abilities:

  • Ability to interpret and apply admission policies established by the University and Oklahoma State Regents of Higher Education.
  • Ability to inquire, analyze, interpret, and present on data elements to achieve institutional goals.
  • Ability to provide a high level of customer service to all constituents such as but not limited to the prospective student experience and the accuracy, timeliness and efficiency of the admissions process. Ability to communicate diplomatically, clearly, and effectively, both verbally and in writing to exchange information, give/receive instructions and respond to inquiries appropriately.
  • Exceptional problem solving and critical thinking skills required.
  • Accurate typing/data entry skills and demonstrated ability to work with attention to detail.
  • Ability to think objectively and interpret meaningful themes from quantitative and qualitative data.
  • Ability to handle multiple tasks and prioritize effectively with high degree of accuracy and attention to detail.
  • Demonstrated coordination, planning, and organizational skills, managing multiple projects simultaneously.
  • Must be adaptable to performing under moderate levels of stress, imposed by frequent deadlines, peak workloads, and public/student contact.
  • Demonstrated knowledge of office technologies including but not limited to: office computers, fax machines, scanners, internet, Microsoft Office (Word, Excel, Access, PowerPoint, Outlook).
  • High degree of initiative to work independently and also collaborate in a team environment.
  • Ability to thrive in a high-paced and dynamic environment.
  • Proficiency in computer applications, including databases, spreadsheets, customer relationship management software, etc.
  • Strong interpersonal skills and sensitivity to a multicultural environment in an effort to work and communicate effectively with all students, faculty, staff and community partners.
  • Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the community.
  • Passion for assisting customers and representing the OSU-OKC and OSU brand with positivity and professionalism.

Preferred Qualifications:

  • Ph.D / Ed.D
  • Minimum of ten years of experience in an admission or enrollment management leadership role as well as eight years of experience in the supervision and development of a professional full-time staff.
  • Successful experience in working and leading within a comprehensive admissions program in a university setting.
  • Demonstrated strong focus on the student experience and student success.
  • Knowledge of state and federal laws, regulations, and other policies affecting student records and reporting.

Working Conditions:

  • Must be able to work flexible hours to include some nights and weekends.
  • Work will be performed in an office environment with a significant amount of public contact, in person, by telephone, via email, and various communication platforms.

Physical Requirements:

  • Duties require extended periods of sitting, standing, talking, and listening.
  • Duties require extensive use of computers, telephones, and other office equipment.
  • Requires possible lifting of up to 25 lbs. (If an object weights more than 45 lbs., OSU-Oklahoma City requires this to be a two-person lift).
