Salary is Negotiable

After successful completion of the probationary period, employee will receive off probation wage increase.


Summary:

Performs and/or oversees a variety of associated administrative, fiscal, personnel support, and planning activities, some of which require advanced or specialized knowledge and skills, such as budget administration and control, equipment, facilities, and inventory management, specialized record keeping and database management, and/or specified information-gathering projects and tasks. Coordinate and facilitate meetings, program functions, and/or special events, as appropriate. Lead and oversee lower graded staff and/or students. Maintain confidentiality of all privileged information. 


Responsibilities:

* Answer and screen incoming calls and correspondence; determine purpose of calls, and forward calls to appropriate personnel, ensuring professional telephone etiquette.
* Screen correspondence: exercise judgment and respond; accordingly, receive, sort, log, and route mail.
* Record and deliver messages or transfers calls to voice mail when appropriate.
* Welcome visitor and determine nature of business, and announce visitors to appropriate personnel, maintaining professional and courteous demeanor.
* Arrange travel, prepare and submit travel-related documents, and maintain travel information as necessary.
* Prepare correspondence, minutes, agendas, memos, forms, and other documents and communications from drafts, recordings, or verbal instruction as requested.
* Edit and review all correspondence and documents for correct grammar, punctuation, and spelling.
* Maintain financial records; process accounts payable, purchasing and travel documents; prepare and issue receipts for payments.
* Create and develop effective presentations as requested.
* Schedule department events and activities; manage departmental calendar.
* Monitor and track departmental budgets; prepare reports as requested.
* Attend meetings and take minutes as requested.
* Establish and maintain an effective filing and retrieval system
* Maintain and operate office machines, equipment, and computers. Perform or coordinate general maintenance and repair
* Photocopy, collate, distribute, and file documents.
* Transmit outgoing faxes, and retrieve, log, and distribute incoming faxes.
* Maintain inventory of office supplies.
* Provide back up for the DPW receptionist when needed.
* Assist with keeping track and entering inventory for all automotive parts.
* Maintain billing of repairs and fuel used on Tribal vehicles.
* Practice excellent teaching and student learning skills at all times to include, but not limited to, addressing student and teacher needs courteously and promptly.
* Contribute to a team effort and accomplish related results as required

Skills:

Essential:

* Knowledge of proper spelling, grammar, punctuation, and basic arithmetic
* Ability to communicate effectively in the English language, both verbally and in writing

Education with Equivalent Qualifications:
Essential:
* High School Diploma, HSED Diploma or GED Certification wi
* Applicants age 50 and older are exempt from this requirement
Nonessential:
* Associates Degree in Administrative Assistant,  Two (2) years of administrative office experience.

Must pass a background check to meet Employment Eligibility Requirements. If applicable, must pass a background check to meet Oneida Nation/State Compact and/or Oneida Nation Gaming Ordinance, and may be required to obtain a temporary license and/or Gaming license as a condition of employment.

Must be willing and able to obtain additional related education and training.

Must pass a pre-employment drug screen and adhere to the Nation Drug and Alcohol-Free Workplace Policy.

A Tuberculosis (TB) Screening and/or a 2 step TB Skin Test is required within thirty (30) days of employment.

Must provide a copy of diploma/degree, license, or certification upon employment.
