At NorthBay Health, the Marketing Project Manager is responsible for the day-to-day coordination, tracking, and successful execution of marketing and communications campaigns across NorthBay Health. This position ensures that projects are delivered on time, within scope, and aligned with organizational priorities. The Marketing Project Management Lead will lead the implementation of a centralized project management system and serve as the key point of contact for cross-functional collaboration, task management, and creative workflow routing. Additionally, the Marketing Project Management Lead will anticipate risks, identify roadblocks early, and proactively implement solutions.

This role works closely with internal stakeholders and external vendors to manage timelines, budgets, approvals, and production schedules. The position requires strong project management experience, excellent communication skills, and a deep understanding of marketing operations and creative processes.

PRIMARY JOB DUTIES

  1. Project Management Platform Implementation and Optimization
    Leads the launch and implementation of a new marketing project management system. Works with internal stakeholders to define system structure, workflows, and usage standards. Develops templates, task assignment protocols, and dashboards. evaluates emerging workflow tools and automation solutions and leads full team adoption through training and support. Will develop and implement an internal request process across the enterprise to manage work flow.
  2. Campaign Planning Supports the development and launch of marketing and communications campaigns. Leads kickoff meetings with stakeholders to define scope, assign responsibilities, and set expectations. Builds timelines, assigns tasks, and monitors progress across creative, content, digital, and vendor teams. Tracks progress through project milestones and facilitates regular updates across departments
  3. Project Management and Workflow Oversight
    Manages day-to-day project coordination across the marketing department, from intake through execution. Ensures deliverables remain on schedule and aligned with campaign strategy.
  4. Vendor and Budget Tracking
    Maintains active vendor tracker and monitors project-related invoices, quotes, and contracts. Ensures all campaign elements stay on budget and within scope. Works with the Director of Marketing and Brand and finance team to track spend and reconcile invoices.
  5. Process Improvement and System Optimization
    Continuously evaluates team workflows for efficiency, clarity, and scalability. Identifies operational gaps or redundancies and recommends improvements. Maintains and enhances the project management platform, ensuring accurate task routing and consistent use across the team.
  6. Cross-Functional Collaboration and Communication
    Acts as a liaison between marketing, clinical, digital, foundation, and executive stakeholders to clarify project needs and keep teams aligned. Supports communication between internal and external partners to ensure timelines and deliverables are met. This role helps streamline campaign workflows that support donor engagement and philanthropy as well as service line and ambulatory marketing.
  7. Team Member Onboarding and Training
    Leads onboarding sessions for new marketing team members to introduce tools, timelines, and workflows. Maintains up-to-date process documentation and serves as the go-to contact for system and project-related questions.
  8. Reporting and Continuous Improvement
    Prepares and maintains dashboards, project trackers, and performance reports. Creates recap reports for leadership to showcase campaign success. Contributes to post-campaign reviews and project retrospectives, using insights to drive continuous improvement in marketing operations.


Qualifications

  1. Education: Bachelor's degree in Marketing, Communications, Business, or related field required.
  2. Licensure / Certification: PMP certification required.
  3. Experience: Minimum of 5 years of project management experience within a marketing, communications, or creative services environment. Experience with healthcare, nonprofit, or agency project coordination preferred.
  4. Skills: Proficiency in project management software such as Asana, Trello, Monday.com, Basecamp, Workamajig, or similar platforms. Strong understanding of marketing workflows, including creative development, digital media, social campaigns, and print production. Excellent organizational, time management, and multitasking skills with the ability to manage multiple projects simultaneously. Strong interpersonal and written/verbal communication skills. Experience with budget tracking and vendor coordination.

  6. Hours of Work: Hybrid schedule optional.
  7. Compensation: $51 to $62 per hour based on years of experience doing the duties of the role.
