Overview:

This Executive Assistant position will report directly to the Chief Executive Officer & President of Mercy and provide high-level executive administrative, project management, and analysis support.

 

Within our ministry, you will make an impact by:

  • Demonstrating exceptional organizational skills and discretion with the ability to prioritize tasks effectively to ensure seamless operations and support to the CEO.
  • Exhibiting professionalism, efficiency, and a proactive approach to managing complex schedules, communication, and administrative tasks in a fast-paced and dynamic environment.
  • Responsible for calendar management and coordination of multiple complex calendars across the team, including scheduling meetings, events, appointments, and travel arrangements.
  • Managing all travel arrangements including flights, accommodations, and transportation.
  • Administering travel and entertainment expense submission for CEO, process invoices, and monthly departmental expenses and headcount review.
  • Coordinating and preparing agendas and logistics for meetings, including room bookings, catering arrangements, and technical support.
  • Organizing meeting notes and minutes, identify follow-up actions, and track progress on open items.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization.
  • Planning and coordinating onsite and offsite team meetings.
  • Handling confidential information and maintaining files/archives (electronic/physical).
  • Willingness to be on-call; high-energy, and a problem-solving attitude.

Qualifications:

  • Required Education & Experience: High School Diploma/GED from an accredited institution AND relevant work experience supporting a Vice President or above.
  • Other:
    • Prior experience as an Executive Assistant supporting a SVP, CFO, or CEO.
    • Anticipate the needs of the executives and proactively address any issues or concerns.
    • Handle confidential and sensitive information with discretion and professionalism.
    • Proficiency in using Outlook and OneNote (calendar/meeting minutes), PowerPoint (staff meetings agenda, follow-ups), Concur (travel management), Excel (department budget management), Workday (system approvals, requisition creation) and other tools and technology.
    • Exceptional organizational skills and attention to detail with the ability to prioritize tasks and manage time effectively.
    • Strong problem-solving skills and the ability to work independently with minimal supervision.
    • Flexibility to adapt to changing priorities and deadlines.
    • Travel is required, as needed, up to 25%.
