Overview:

 

Provides a wide variety of confidential administrative and general support to a Vice President of the Sisters of Mercy Health System. Ensures Mercy Values are reflected in all aspects of the departments operations. Performs duties and responsibilities in a manner consistent with our mission, values, and Mercy Service Standards.


Qualifications:

  • Education: High school diploma.
  • Experience: Five years executive secretary experience.
  • Other skills & knowledge:
    • Ability to work with and preserve confidential information.
    • Computer literacy with intermediate skills with Windows, Word, Excel and PowerPoint.
    • Excellent interpersonal, communications and organization skills.
    • Ability to deal effectively with diverse groups of people.
    • Ability to work independently and in a self-directed manner.

Job Responsibilities:

  • Maintains calendar and coordinates activities to include meeting arrangements, travel plans and appointments.
  • Composes, edits and routes correspondence.
  • Sets up and maintains files of correspondence, department reference materials and other documents.
  • Provides administrative support in coordinating the department budget administration.
  • Generates and distributes formal presentation materials and reports.
  • Documents meetings through formal minutes as required and follows up as appropriate.
  • Answers and screens telephone calls; routes the calls as appropriate or handles routine calls personally. Greets visitors to the department and refers them accordingly.
  • Provides administrative support on departmental committees.
  • Appropriately handles all incoming and outgoing correspondence.
  • Administrative support of the review of physicians CME/dues reimbursement
