Description

The Proposal Specialist position allows you the flexibility to work at home as long as you reside within a 50-mile radius an Ohio Medical Mutual office.

Manages the development, completion, and submission of responses to routine to complex Requests for Proposals (RFPs) with minimum supervision under strict deadlines.  Collaborates with internal departments to develop proposal strategy and content that effectively communicates Company capabilities, policies, products and services.  Provides assistance, guidance and training to other specialists.

Responsibilities

 

Proposal Specialist I

·    Acts as project lead in responding to routine to moderately complex RFPs with support and/or general supervision including responding, preparing, coordinating and packaging to meet RFP specifications/requirements and department standards for accuracy and quality. Pre-populates RFPs with standard database content with minimal supervision.

·    Manages outreach and receipt of information from internal departments for assigned RFPs. Secures and documents all required internal approvals of proposal content.

·    Contributes to the upkeep of department database of standard responses post-proposal and shared with team and Sr. Content Specialist.

·    Manages department inbox and basic reporting.

·    Maintains open communication and provides appropriate guidance to Sales regarding technical aspects of the RFP requirements based on job and company knowledge.

·    Supports new and/or updates to department standards and procedures.

·    Performs other duties as assigned.

 

 

 

Proposal Specialist II

·    Acts as a project lead.  Completes routine RFPs with minimal supervision and moderately complex RFPs with general supervision without additional support. Includes responding, preparing, and packaging to meet RFP specifications/requirements. Assists with RFP peer reviews as needed for other non-assigned RFPs. Pre-populates RFPs with standard database content with minimal supervision.

·    Manages outreach and receipt of information from internal departments. Secures and documents all required internal approvals of proposal content.

·    Supports and participates in strategy discussions with Sales and other necessary parties that are led by the Proposal Leaders. Maintains open communication and provides appropriate guidance to Sales regarding technical aspects of the RFP requirements based on job and company knowledge. 

·    Contributes to the upkeep of department processes and database of standard responses.

·    Performs other duties as assigned.

 

 

Sr. Proposal Specialist 

·    Acts as project lead in responding to routine to complex RFPs with minimal supervision including responding, preparing, coordinating, and packaging to meet RFP specifications/requirements. Pre-populates RFPs with standard database content with minimal supervision.

·    Manages outreach and receipt of information from internal departments. Secures and documents all required internal approvals of proposal content. Engages SME when needed to complete new /strategic RFP questions or requests.  Manages process for updates into the database and internal unit processes.

·    Coordinates and leads strategy discussion with sales and other necessary parties regarding assigned RFP. Determines agreed on approach to completing RFP.

·    Partners with and provides appropriate guidance to Sales regarding technical aspects of RFP requirements based on advanced job-specific and company knowledge.

·    Mentors more junior specialists including peer review of documents, interpretation of RFP requirements, response direction and problem resolution guidance.

·    Contributes to the upkeep of department database of standard to varied responses.

·    Initiates new and/or updates to department standards and procedures while collaborating with team to refine and implement. Maintains knowledge of industry best practices and internal news and communications to support best practices, improved processes and deep understanding of the company and industry.

·    Performs other duties as assigned.



Qualifications

Qualifications

Proposal Specialist I

Education and Experience:

·  Bachelor's degree in Business Administration, English, Journalism, Literary Writing, Marketing or related field preferred, but will consider collective experience, training and education.

·    2 years progressive experience where business writing and/or Request for Proposals (RFPs) is primary function.

·    Prior experience in healthcare industry a plus.

 

 

 

Technical Skills and Knowledge:

·   Computer literate; intermediate to advanced proficiency with Microsoft Office-based applications and programs, especially Word, Excel, PowerPoint, SharePoint, Teams (other collaborative spaces), Adobe Pro, RFP management software and an understanding and/or experience with CRM tools.

·     Demonstrated command of grammar, spelling and sentence structure.

·     Appropriately applied knowledge of the Company's capabilities, policies, products, and services.

Proposal Specialist II

·   5 years as a Proposal Specialist or equivalent experience where business writing and/or Request for Proposals (RFPs) is primary function.

·    Prior experience in healthcare industry a plus.

·  Computer literate; intermediate to advanced proficiency with Microsoft Office-based applications and programs, especially Word, Excel, PowerPoint, SharePoint, Teams (other collaborative spaces), Adobe Pro, RFP management software and an understanding and/or experience with CRM tools.

·    Ability to analyze an RFP, determine optimal response strategy, and implement the same.
