Job Summary

Greet and register all patients who present themselves for Urgent Care Services. Obtain all necessary demographic and financial information to complete the registration process to ensure legal and accurate billing and medical record input. Obtain all appropriate authorizations and/or referrals. Complete medical record and all appropriate signatures and consents. Collect Point of Service payments as appropriate and accurately record payments. Provide supervision, guidance and assistance in all registration matters to all other Urgent Care registrars. The Urgent Care Lead will oversee the operation of the Urgent Care Registration in the absence of Patient Access Leadership but will notify leadership if the need arises.

Minimum Qualifications
  • Minimum Education: High School Diploma  or Equivalent
  • Minimum Years of Experience: 1 Year of experience in healthcare setting and/or Customer Service area 
  • Substitutable Education & Experience (Optional): None.
  • Required Certifications/Licensure: None.
  • Required Training: Thorough understanding of medical terminology due to the day-to-day requirements of the department;  Familiar with registration requirements /documentation, insurance, and billing;  Technical knowledge of PC and software applications;  Demonstrates ability to supervise personnel and communicate well in an organizational setting;  Knowledge of patient accounting and basic knowledge of accounting practices.
Essential Functions
  • Verifies demographic and financial information to ensure the accuracy of the patient's Medical Record and collects and accurately reports Point of Service Collections.
  • Interview patients and/or their representatives to obtain demographic and financial information.
  • Responsible for obtaining proper consent on adults as well as minors.
  • Responsible for working with each department to ensure registrations are completed before patient leaves.
  • Responsible for obtaining copies/scanning of picture ID (if available) and insurance cards.
  • Responsible for obtaining necessary signatures for registration.
  • Responsible for assigned area until properly relieved. This may mean staying after their assigned shift until relief is obtained.
  • Responsible for ensuring that appropriate paperwork is completed at time of registration.
  • Communicates face-to-face and by way of phone if necessary, with patients and patient representatives as needed.
  • Obtain Workers Compensation information at the time of registration and verify as needed.
  • Responsible for having a complete understanding and working knowledge of the policy and procedures regarding collection of insurance data.
  • Accepts chain of command, supervision, and constructive criticism.
  • Speaks positively about LMC, the department, other employees and guests.
  • Contributes to teamwork and creates harmonious relations with others. Displays positive attitude toward job duties and assigned tasks.
Duties & Responsibilities
  • Collect point of service payments as appropriate and accurately record payments.
  • Verifies balance of cash drawer in assigned location registration area, when the drawer is opened and closed.
  • Generates a trial balance when closing the cash drawer, and prepares money for deposit ensuring all checks and balances are in place.
  • Professional in appearance, communications, and knowledge.
  • Accepts chain of command, supervision and constructive criticism.
  • Contributes to teamwork and creates harmonious relations with others.
  • Displays positive attitude toward job duties and assigned tasks. Discourages gossip and treats others as they wish to be treated.
  • Performs all other duties as assigned by authorized personnel or as required and meets assigned time frame.
  • Trains and orients new employees to departmental policies and procedures. Assists manager in interviewing new registrar employee candidates.
  • Mentors existing employees, with input in to performance and attendance.
  • Displays a thorough understanding of registration and cashiering procedures.
  • Ensures that registration functions are completed in a timely, accurate, professional and confidential manner.
  • Utilizes experience and problem solving skills to formulate recommendations for operational improvements.
  • Manages employees' scheduled hours.
  • Trains patient access employees to follow downtime procedures.
  • Review annual performance evaluation with employees.
  • Must attend departmental approved training sessions to maintain the position.
