Project Coordinator – Blue Ash, OH

KellyBPO, a managed solution provider and business unit of Kelly Services, Inc., is seeking a Project Coordinator for a long-term position with one of our Global Clients based in Blue Ash, OH.

This is a full-time position with competitive compensation and a comprehensive benefits package including medical, dental, 401k, and paid time off.

Job Description: The Project Coordinator provides administrative and project management support to senior leadership, ensuring smooth operations across meetings, stakeholder communications, and office functions. This role combines executive support with project coordination, requiring strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Support 2–3 Directors/Senior Directors with executive-level administration.
  • Coordinate internal/external meetings & events (agenda prep, logistics, communications).
  • Partner with R&D leadership and Verb Surgical OTTAVA team on joint meetings and travel.
  • Maintain project schedules and budgets; provide status updates and meeting coordination.
  • Manage candidate communications, interview scheduling, and onboarding logistics.
  • Oversee office logistics (supplies, new hire setup, IT/security access, training).
  • Prepare and reconcile expense reports (Concur).
  • Create high-quality presentations and documents (MS Office).
  • Maintain calendars, org charts, job descriptions, and team documentation.
  • Process HR-related forms and personnel administrative activities.
  • Serve as liaison across departments and with external contacts.
  • Utilize ARIBA, eMarketplace, and concur for purchasing and expense management.
Skills and Experience:
  • High school diploma required, associate degree or equivalent preferred.
  • 5–10 years of progressive administrative experience (ideally in product development).
  • Strong organizational/time management skills; detail oriented.
  • Excellent interpersonal and communication skills (written & verbal).
  • Ability to work independently, manage ambiguity, and proactively solve problems.
  • Proficiency with Microsoft Office Suite; adaptable to new tools/platforms.
