Office Manager Needed-DIRECT HIRE!

Schedule: Monday–Friday, 8:30 AM – 3:00 PM
Reports To: Fire Chief and/or Firehouse President

Position Summary:
The Office Manager is a key administrative support role responsible for ensuring the smooth day-to-day operations of the firehouse. This position requires exceptional organizational, communication, and multitasking skills to manage administrative tasks, coordinate events, support leadership, and serve as the first point of contact for members of the community and staff.

Key Responsibilities:

  • Professionally answer incoming phone calls and direct them appropriately
  • Greet visitors and members of the public warmly and professionally
  • Prepare and type all forms of correspondence, including letters, reports, and memos
  • Assist with payroll processing and timekeeping coordination
  • Support the preparation and organization of internal and external audits
  • Prepare documentation and logistics for monthly Board Meetings
  • Coordinate with Fire Chiefs and the President for scheduling and communication of events
  • Manage scheduling and documentation of physicals for new firehouse members
  • Distribute incoming and outgoing mail in a timely manner
  • Generate and submit required administrative reports accurately and on time
  • Order office and station supplies as needed and maintain inventory
  • Ensure compliance with the firehouse's donation acceptance and handling policies
  • Assist in organizing and coordinating firehouse events and public outreach efforts
  • Support in the preparation and filing of accident reports as necessary
  • Organize and manage facility reservations for meetings and events
  • Assist in planning and executing holiday-themed events and staff celebrations
Qualifications:
  • Prior office management or administrative experience required
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic knowledge of office equipment
  • Ability to handle confidential information with discretion
  • Organized, dependable, and able to work independently
  • Experience in a nonprofit or emergency services environment a plus
