Job Title: Human Resources Assistant – HR/Payroll Coordinator
This is a full-time, on-site
Monday-Friday 8am-5pm
Salary: 60K

Position Summary:
The HR/Payroll Coordinator is responsible for the administration of payroll, employee benefits, and employee recognition programs. This role supports the broader Human Resources function by delivering exceptional service, fostering an inclusive workplace culture, and ensuring compliance with internal policies and legal requirements. The ideal candidate will possess strong communication skills and a solid understanding of HR functions and systems.

Key Responsibilities: Payroll Administration
  • Ensure timely, accurate, and compliant processing of payroll.

  • Maintain and audit employee payroll records, including data entry for new hires, compensation changes, and additional earnings.

  • Process employee time and attendance data and reconcile variances.

  • Approve and release time records within the payroll system.

  • Administer vacation and sick leave balances.

  • Provide payroll-related training to managers and staff to promote proper tool usage and policy compliance.

  • Assist employees with payroll portal access issues.

  • Perform month-end tasks, including invoice approval and submission of payroll accruals with management authorization.

  • Develop a thorough understanding of payroll software and HRIS systems; generate reports as needed.

  • Serve as a liaison with vendors related to payroll and HR activities.

Benefits Administration
  • Administer employee benefit programs (medical, dental, vision, disability, 401(k), defined benefit plans, life insurance, workers' compensation, etc.).

  • Conduct benefit orientation for new hires and ensure accurate enrollment processing.

  • Respond to employee inquiries related to benefits, claim issues, and status changes.

  • Manage vendor relationships to resolve complex benefit-related issues and maintain data accuracy.

  • Maintain benefit information on internal platforms and ensure proper documentation and file retention.

  • Support open enrollment and other benefits-related communications and education initiatives.

Leave Management
  • Collaborate with the HR Generalist to interpret FMLA, ADA, and other leave-related policies.

  • Administer and track leave of absence and disability paperwork.

  • Ensure COBRA compliance and timely processing of benefit continuation for terminated employees.

HR Coordination
  • Participate in new employee onboarding and orientation programs.

  • Process terminations and support offboarding procedures.

  • Respond to employment verification requests and workplace surveys.

  • Ensure compliance with labor law postings and required reporting.

  • Assist with performance review processes and other HR initiatives as needed.

Qualifications:
  • 2+ years of experience in HR, payroll, or benefits administration preferred.

  • Working knowledge of federal and state employment laws, FMLA, COBRA, and ADA.

  • Proficiency in payroll and HRIS systems (e.g., ADP, Paylocity, UKG, or similar).

  • Excellent organizational and time management skills with attention to detail.

  • Strong interpersonal and communication skills.

  • Ability to handle confidential information with discretion.
