Location: 822 Bishop St, Downtown Honolulu, Hawaii
Schedule: Monday – Friday, 8:00am – 5:00pm (100% onsite)

About the Role
Kelly Services is seeking a detail-oriented Capital Expenditures Administrator to oversee the administration of construction projects for our customer in Kelly Services. Reporting to the Senior Development Manager, you will collaborate with several departments—Development, Tenant Coordination, Building Improvements, Property Management, Investments, Accounting, and Legal—to ensure capital expenditures are processed efficiently and in line with company policy.

Key Responsibilities

  • Act as the main point of contact to coordinate, review, and process contracts, change orders, invoices, and project closeout documents.
  • Prepare, coordinate, and oversee execution of design and construction agreements and approvals—including proposals, contract forms, COIs, W9s—and coordinate Legal and Risk Management reviews.
  • Review and process construction-related invoices and change orders; verify closeout documentation prior to release of final payments and Tenant Allowance.
  • Use project management software (YARDI) for reviewing contract documents and maintaining electronic records.
  • Provide administrative support for the Senior Vice President of Development.
  • Handle other duties as assigned.

Qualifications

  • Minimum Associate's Degree and 3+ years of administrative experience in real estate, construction, or a related field, or equivalent education and experience.
  • Proficiency with Microsoft Office Suite (Outlook, Teams, Excel, Word, PowerPoint) and Adobe Acrobat. Knowledge of YARDI, DocuSign, and BOX is a plus.
  • Ability to read and interpret contracts.
  • Experience with accounting and willingness to learn job cost accounting.
  • Excellent communication (verbal and written) and organizational skills.
  • Positive attitude and ability to work effectively with vendors, co-workers, and management.

Additional Information

  • Position is 100% onsite; there are no hybrid or remote options.
  • Parking is not provided, but public and garage parking options are available nearby.
  • Offer contingent upon successful background check and 10-panel drug test.
  • Ideal candidates will have previous property management experience (e.g., with Associa, Hawaiiana, etc.).
  • Compensation is based on qualifications, experience, and skills.
