Job Title: Executive Assistant
Location: Franklin, TN On-site preferred
Hours: Mon-Fri 8am-5pm, can flex some hours if needed
Pay Range: 22-25hr
Dynamic, fast-growing diagnostics company with a close-knit team. You'll work directly with our COO and CEO, supporting their work as we continue to innovate and grow in the healthcare space. Position Summary:
We are seeking an experienced, proactive Executive Assistant. This role is integral to helping our executives manage priorities, organize their schedules, and ensure projects run smoothly. The ideal candidate is detail-oriented, highly organized, and adept at anticipating needs in a fast-paced environment. Key Responsibilities:

  • Provide comprehensive administrative support to the COO and CEO.
  • Manage calendars, schedule meetings, coordinate appointments, and handle meeting logistics.
  • Proactively track deadlines, action items, and follow up to ensure nothing is missed.
  • Support document flow, approvals, and assist with updating and maintaining company materials e.g., website updates.
  • Take notes and summarize action items during meetings using various tools Microsoft Office, Plaud.
  • Facilitate communication as a gatekeeper for the executives, ensuring their time is used efficiently.
  • Assist with project management activities on monday.com.
  • Prepare reports, presentations, and correspondence as needed.
  • Coordinate travel arrangements and manage expense reports.
  • Handle sensitive information with professionalism and confidentiality.
Requirements:
  • Proven experience as an Executive Assistant or similar administrative role, preferably in a fast-paced company.
  • Advanced proficiency in Microsoft Outlook and Office Suite Word, Excel, PowerPoint.
  • Experience with monday.com or willingness to learn quickly.
  • Excellent communication and organizational skills.
  • Ability to manage multiple priorities and work with limited direction.
  • Strong attention to detail; proactive approach to problem-solving and follow-up.
  • Willingness and ability to work on-site full-time Monday Friday, 8:00/8:30am 5:00pm; flexibility considered for exceptional candidates.
  • Positive, team-oriented attitude; professional demeanor.
Preferred Qualifications:
  • Experience working with busy executives across time zones.
  • Familiarity with AI note-taking tools e.g., Plaud.
  • Experience in healthcare, diagnostics, or start-up environments.
