Executive Assistant-Onsite
Monday-Friday 8AM-5PM
Sacramento, CA- ONSITE
$25.00-$40.00/HR DOE
1-2 Month Assignment
ROLES AND RESPONSIBILITIES:
- Managing the Executive Director calendar, scheduling and travel arrangements
- Handles scheduling, logistics and support for board meetings and other meetings/events involving staff and membership
- Supports association staff with office/administrative needs -
- help manage internal contracts with office vendors and service providers - Working with leadership and contracted conference planning staff to plan and execute the annual conference
- Communicating with and responding to requests for information from board members and their staff, legislative offices and partner agencies
- Maintains website and email distribution lists with updated information
- Opens and prepares office each morning according to standards
- Creates a welcoming environment by greeting guests, answering, screening and transferring phone calls, directing visitors, and taking messages for association staff
- Office-related work, such as filing, copying and compiling documents (electronically or with a paper filing system), sorting, logging and distributing mail and deliveries
- Orders supplies and maintains office inventory and equipment
- FFPC quarterly and annual Lobbyist reporting -
ESSENTIAL FUNCTIONS:
- Personable demeanor; ability to work independently
- Proficiency with Office Suite, especially Outlook, Word and Excel
- Ability to calendar and set up meetings for multiple staff
- Experience with meeting logistics and planning, including agenda development and minutes
- Ability to prepare business correspondence
- Ability to thrive in a dynamic, high-energy, fast-paced work environment
- Excellent customer service and soft skills
- Ability to use a physical and online multiline phone system and transfer calls appropriately
- Team oriented with a focus on collaboration
- Ability to proofread for errors in spelling, punctuation, and grammar and has strong written and verbal communication skills
- Proficiency with virtual meeting platforms; Zoom, Teams, WebEx
- Basic office knowledge such as electronically and physically filing, printing, copying, and compiling documents
- Ability to organize work and manage time effectively to accomplish multiple assigned tasks by deadlines
- Detail oriented, organized, and tidy
DESIREABLE QUALIFICATIONS:
- Bachelor's degree or higher
- Two or more years' experience in the public, non-profit and/or legislative sector
- Experience with conference/event planning
- Experience with contract management
- Website maintenance experience
