Job Description:
We are seeking an experienced and proactive Executive Administrative Assistant to support a VP-level Executive, their three direct reports, and a mid-sized department. The ideal candidate will have seven or more years of administrative experience and will be instrumental in managing a variety of tasks to ensure smooth operations within the team.
Key Responsibilities:
- Manage projects and track deadlines to ensure timely completion of tasks.
- Maintain an active calendar of appointments and schedule meetings for executives.
- Arrange travel and itineraries, ensuring all logistics are efficiently planned.
- Complete expense reports accurately and in a timely manner.
- Coordinate meetings and events, including logistics and materials preparation.
- Prepare and edit presentations, ensuring high-quality output.
- Compose and edit correspondence on behalf of executives.
- Recommend and make purchase decisions as necessary.
- Train other administrative staff as needed.
Qualifications:
- Must have seven or more years of relevant administrative experience.
- Strong written and verbal communication skills.
- Intermediate to advanced computer skills, including proficiency in word processing, spreadsheet calculations, basic presentation assembly, and familiarity with database applications.
- Ability to work onsite five days a week for the first month, with the potential for remote work (up to two days remote each week) after a 30-day evaluation period.
- Comfortable working in a complex, fast-paced environment.
