Job Title: Accounts Receivable Specialist (Collections)
Location: Maple Grove, MN
Pay: $24-26/hr
Duration: Indefinite Contract (Potential for Contract-to-Hire)
Hours: Flexible (e.g., 7 AM - 4 PM or 9 AM - 6 PM), Hybrid Schedule (Tuesday & Thursday in-office, Monday & Friday remote) Overview:
We are seeking an Accounts Receivable / Business to business Collections Specialist to join our dynamic team in a service-oriented organization maintaining customer relationships, calling customers on aged receivables, providing copies of invoices and resolving payment issues. The ideal candidate will demonstrate the ability to work independently, communicate effectively, and contribute to streamlining the order-to-cash process.

This role is perfect for someone with experience in accounts receivable, particularly in business-to-business collections, who can handle customer disputes, navigate portals, and assist with basic ERP system research. You will work directly with internal teams and customers, including large accounts like John Deere, to help resolve any payment discrepancies and keep receivables flowing smoothly.
Key Responsibilities:

  • Review and print invoices daily, ensuring timely distribution to customers (via email or mail) for IMT LLC and Microscopy LLC.
  • Submit invoices through online portals and actively manage customer portal access for invoice submission.
  • Retrieve and verify purchase orders (POs) from portals, ensuring they match service reports.
  • Follow up with customers over the phone and through email to resolve payment discrepancies, including overpayments or short payments.
  • Assist customers in understanding and resolving any disputes impacting payments.
  • Provide copies of invoices to customers as requested.
  • Maintain consistent communication with internal departments and customers to track and resolve aged receivables.
  • Collaborate with teams to identify and escalate issues as needed, working closely with the AR team and management
  • Assist with basic research in SAP and ERP systems to track payment statuses and provide feedback to the invoicing team.

Qualifications:
  • 3-5+ years of experience in business to business collections environment.
  • Strong ability to work independently and manage tasks efficiently.
  • Excellent written and verbal communication skills.
  • Ability to remain composed and professional when interacting with customers, especially in challenging situations.
  • Proficient in Microsoft Excel, Word, and SAP or similar ERP experience
  • Strong problem-solving skills and attention to detail.
  • Proven ability to build positive working relationships with both internal teams and external customers.
  • A customer-service-oriented approach to resolving disputes and optimizing cash flow.
