Seeking a detail-oriented Business Analyst to perform ad-hoc analytical duties and operational tasks ensuring day-to-day operations run smoothly as well as documenting processes, workflows, procedures, etc. The ideal candidate will have strong analytical skills, proficiency in Microsoft 365 suite, and the ability to create comprehensive documentation and reporting solutions.
Key Responsibilities
Process Analysis & Documentation
• Interview team members to understand how the business functions today with special focus on business processes and workflows
• Informally document findings by organizing and compiling content into standard templates
• Drive conversations with the team to solidify each process and workflow, and formalize the documentation of each
• Identify and document gaps or inefficiencies discovered during the interview and documentation process
• Present proposals for gap resolution and potential efficiencies identified to leadership
• Cross-check and compare files for discrepancies across various systems and documents
Data Analysis & Reporting
• Create and maintain PowerBI reports and dashboards for various stakeholders
• Extract ad-hoc reports from Passport Legal system and Finance System and export to Excel
• Manipulate, analyze, and format data to meet business requirements
• Save and organize reports in designated SharePoint locations
• Develop automated reporting solutions where possible
File Management & Organization
• Consolidate and organize Microsoft Teams files into logical, accessible structures
• Implement consistent naming conventions and folder hierarchies
• Ensure SharePoint sites are well-organized and user-friendly
• Maintain document version control and access permissions
Project Management (If Qualified)
• Project manage one or two small/medium projects if project management experience and skill set exists
• Coordinate project timelines, deliverables, and stakeholder communications
• Track project progress and ensure deliverables meet quality standards
Administrative Support
• Provide analytical support for various projects and initiatives
• Assist with data validation and quality assurance
• Support ad-hoc requests from leadership and team members
• Coordinate with cross-functional teams as needed
Required Qualifications
Technical Skills
• Microsoft 365 Suite Proficiency (Required):
o Advanced Excel skills (pivot tables, formulas, data manipulation)
o PowerBI report creation and dashboard development
o SharePoint site management and organization
o Microsoft Word for professional documentation
o Microsoft Visio for process mapping and workflow documentation
• Experience with legal management systems (Passport Legal preferred)
• Strong ability to cross-check and compare files for discrepancies
• Proficiency in data extraction and manipulation
Communication & Documentation Skills
• Strong communication skills with ability to facilitate productive discussions
• Ability to learn and understand business operations quickly and thoroughly
• Excellent listening skills with ability to restate information to check understanding
• Experience writing non-technical Standard Operating Procedures following existing templates and workflows
• Ability to translate complex processes into clear, actionable documentation
Professional Skills
• Bachelor's degree in Business Administration, Analytics, Finance, or related field
• 2-3 years of experience in business analysis, legal operations or similar role
• Project Management skills ideal: Ability to own and drive efforts, manage as a project manager or at minimum project coordinator skills highly preferred
• Detail-oriented with strong organizational skills
• Problem-solving mindset with ability to streamline processes
• Ability to work independently and manage multiple priorities
Preferred Qualifications
• Finance/Accounting experience - Knowledge of financial reporting, budgeting, and accounting principles
• Legal Operations experience - Understanding of legal department workflows, matter management, and legal technology
• Project management certification (PMP, CAPM, or similar)
• Experience with process improvement methodologies
• Previous experience creating comprehensive process documentation
• Familiarity with legal billing and matter
