The Business Administrator provides support to the Site Head and Business Operations Manager, providing office services by implementing administrative systems, procedures, and policies. Additionally, supports day-to-day site operations, accommodating the special needs of site staff, all while supporting the culture at JLABS.
Key Responsibilities: Administrative •
- Administrative support to the Site Head (travel, expenses, scheduling, meetings, special projects, etc.) • Assist with inventory and restocking office supplies. •
- Project Support: o Support site and strategic projects as needed
- Identify and solve complex and ambiguous problems in all areas of operations
- Drive a culture of continuous improvement to streamline, simplify, standardize, and automate processes: identify and execute on opportunities •
- Partner and align with all site functional team members • Coordinate site conference room, office, and collaborative hub bookings Business Operations Support •
- Update various JLABS platforms with new resident/company information, prepping for resident/company onboarding and offboarding through a variety of tasks, assisting with site printer setup, processing of badges and welcome kits, general administrative duties (filing, scanning, editing documents/reports and processing), troubleshooting AV equipment, and managing photocopier •
- Responsible for the effective management of the customer service function and technology platform, the JLABS Help Center •
- Contracts management • Assist in accounting process Business Intelligence •
- Support portfolio data management o Update, utilize and optimize systems and reporting tools •
- Portfolio Investor & Partner Support: o Actively supporting relationship management that could include sourcing, reviewing, contracting, onboarding, offboarding and continued follow-up (Alumni) •
- Competitive analysis: Work with the Site Head to track and report on competitors, industry, and company relevant data •
- Performance Management: Establish reporting and operating dashboards, manage and track performance
Qualifications: A minimum of a bachelor's degree is required with a minimum of 2-4 years of related work experience required. A degree in science or business is strongly preferred. The Business Administrator must be proficient in MS Office applications including Word, Excel, Outlook, and PowerPoint. Salesforce experience is preferred. The ideal candidate will have a strong work ethic, be professional, organized and detail oriented. This is a team-oriented position that plays an integral role in facilitating processes and procedures. She or he will also demonstrate the ability to work independently with minimal direction.
