Job Title: Administrative Specialist
Summary:
Provides professional administrative support to department leaders and teams, utilizing discretion, independent judgment, and technical proficiency to effectively manage workflow and contribute to organizational success. Works proactively and resourcefully with minimal supervision to ensure seamless operations.
Key Responsibilities:
- Deliver a wide range of administrative support to leaders, teams, and groups, ensuring efficiency and accuracy in all tasks.
- Independently coordinate meetings, book conference rooms, manage visitor processes, order catering, and prepare meeting materials. Take meeting notes and assist with presentations as needed.
- Ensure consistent communications flow by leveraging understanding of the organization's structure, processes, and business functions.
- Arrange domestic and international business travel, including flights, hotels, cars, and restaurant reservations. Prepare and manage travel itineraries for team members and leaders.
- Complete and submit expense reports on behalf of leaders and teams. Monitor and track departmental expenses against budget, resolve discrepancies, and generate timely reports for budget owners.
- Support technical office operations by maintaining documents in SharePoint and Teams, serving as the focal point for equipment and software, and coaching colleagues in technology use.
- Actively participate in projects, efficiently completing assignments independently or as a team member. Drive project team efficiency through continuous improvement and problem-solving.
- Serve as a point of contact for troubleshooting issues, liaising with external vendors and service providers, and fostering a collaborative workplace atmosphere.
- Promote and communicate workplace safety. May act as group safety warden, delivering timely safety messages.
- Build strong working relationships across the organization, communicating clearly and proactively with diverse audiences. Address concerns, resolve issues, and alert stakeholders to potential challenges.
- Understand and help achieve team objectives, connecting daily activities to broader departmental goals and strategy. Model high standards of personal excellence, integrity, and motivation.
- Uphold information integrity principles, properly classifying, storing, and protecting confidential data in line with company guidelines.
- Identify and respond to customer, client, and co-worker needs promptly, leveraging integrated business systems for effective support.
- Proven ability to prioritize competing requests and manage multiple tasks effectively.
- Exceptional organization, time management, and planning skills, with an eye for anticipating resource needs.
- Technologically adept and comfortable learning new systems, tools, and equipment.
- Strong problem-solving skills and a proactive approach to overcoming challenges.
- Effective communicator, able to tailor written and verbal messages to various audiences.
