Description

We're currently seeking a skilled Administrative Assistant for a hybrid role in Boston, MA 02215 supporting a high-performing Major Gifts team. This role is a great fit for someone with experience in administrative support, strong Microsoft 365 skills, and comfort working with database systems and confidential information.

You'll handle calendar management, event support, travel coordination, report running, expense tracking, prospect outreach support, and more—while working closely with multiple officers in a fast-paced environment.

Administrative Assistant

Location: Boston, MA 02215
Schedule: Monday–Friday, 9:00 AM–5:00 PM, Hybrid

Essential Job Functions
  • Provide administrative support to Major Gift Officers, including scheduling, calendar management, travel arrangements, expense tracking, and supply ordering.

  • Assist with event preparation, development, and execution.

  • Maintain organized filing systems and databases for prospect files, donor giving records, and contact reports.

  • Run and manage reports and lists from donor databases to support prospect research, outreach, and activity tracking.

  • Support prospect strategy development by helping build outreach rosters and tracking prospect movement.

  • Process administrative paperwork using systems such as Concur and SAP.

  • Handle highly confidential information with discretion.

  • Support multiple officers simultaneously with excellent prioritization and organization.

Must-Haves
  • 2–3 years administrative support experience.

  • Strong proficiency in Microsoft 365 (Word, Excel, Outlook).

  • Experience with database systems and high attention to detail.

  • Strong communication and organizational skills.

  • Ability to support more than one officer and manage a high-volume workload.

  • Ability to maintain confidentiality and work professionally with all levels of staff.
