Kelly Services is seeking an Administrative Assistant for a dynamic municipality in Macungie, PA!
Position: Administrative Assistant
Location: Macungie, PA
Schedule: 1st Shift | Flexible between 9:00 AM – 5:00 PM, Monday–Friday
Pay Rate: $20–$25/hour, depending on experience
Key Responsibilities:
- Provide high-level administrative support to the Borough Manager, Council, Mayor, Zoning Officer, Public Works, Commissions, and Boards
- Attend Borough Council, Zoning Hearing Board, Borough Authority, and Planning Commission meetings; record proceedings and prepare official minutes
- Coordinate meeting activities: assemble and distribute packets, prepare calendars, advertise meeting notices, and notify interested parties
- Maintain appointment calendars and manage office correspondence, reports, press releases, minutes, and confidential documents
- Support residents and community members by answering phones, greeting visitors, resolving inquiries, and providing information on municipal codes and policies
- Compile and prepare borough budgets and assist with complex office projects
- Conduct research; use independent judgment to determine resources and consult with staff or outside agencies as needed
- Establish and maintain electronic/manual filing systems, including confidential records
- Manage the Borough website, update agendas/minutes, post municipal updates, and maintain events calendar
- Maintain documents on SharePoint, create apps, and upload files as required
- Prepare letters, notices, and official communications for zoning hearings, compliance, ordinances, and other borough business
- Support monthly reporting, newsletters, project management, grants/forms submissions, and assist at public events and farmers market
- Complete a wide variety of clerical, office, and customer service tasks as assigned by the Borough Manager
Qualifications:
- High school diploma or GED required
- Previous administrative assistant experience, preferably in a municipal or public sector office
- Proficiency with Microsoft Office 365, desktop publishing, website maintenance, and social media tools
- Excellent oral and written communication; strong grammar, spelling, and editing skills
- Ability to maintain confidentiality, prioritize in a busy office, and handle multiple tasks and interruptions effectively
- Team-oriented attitude; able to work cooperatively and independently with staff, officials, and the public
- Strong organization, memory, and attention to detail
- Comfortable with computers, office equipment, filing, and electronic document management
- Valid driver's license required
Physical Demands:
- Able to sit, walk, stand, and use hands for office tasks
- Occasionally lift or carry up to 50 pounds
- Ability to attend meetings or work outside regular hours as needed
