Senior Manager, Payroll Operations & Client Implementation

Salary Range: $95,000 to $100,000 USD

Location: Remote- USA

Duration: Full Time / Permanent

We have an immediate opportunity for a Senior Manager, Payroll Operations & Client Implementation to serve as the ultimate subject matter expert (SME) and a strategic leader. This is a critical multi-faceted role, requiring someone with deep, hands-on payroll expertise who can act as the highest point of escalation for clients and the internal team, while also leading a diverse team and managing key relationships with our external partners. You will be the final authority for all complex and non-routine payroll matters. This role is for a proactive and highly knowledgeable expert who can mentor a diverse team, lead high-impact projects, and continuously optimize our payroll processes and external partnerships to ensure maximum accuracy and compliance across all service lines.



Key Responsibilities:

  • Subject Matter Expertise & Ultimate Escalation: Serve as the final point of escalation for all complex and non-routine payroll issues, including advanced tax discrepancies, intricate garnishments, and retroactive pay calculations. You will resolve the most challenging problems and provide authoritative guidance to both the team and our most important clients
  • Team Leadership & Mentorship: Lead, manage, and mentor a diverse payroll team, including Payroll Specialists (who handle implementation and ongoing client servicing) and Payroll Analysts (who manage the Payroll Sync service and aid in back-office tasks). Provide expert-level technical guidance, coaching, and leadership to foster their professional growth and ensure the entire team is meeting all operational goals and KPIs
  • Embedded Partner & Platform Management: Serve as the primary liaison and "go-between" for our internal platform and payroll teams and our Embedded Payroll partners' servicing and partner teams. You will manage the relationship, facilitate communication, and troubleshoot issues that arise at the intersection of our platforms and services, ensuring a seamless experience for clients
  • Operational Leadership & Implementation: Lead and manage complex client payroll implementations, ensuring customized solutions that align with client needs and support long-term retention. Oversee and guide the back-office tasks related to implementation to ensure a seamless process
  • Process Optimization & Project Management: Own and drive the continuous improvement of all payroll processes, policies, and internal controls. Lead high-impact payroll projects, such as system implementations, automations, and end-of-year planning. Define project scope, manage timelines, and ensure successful completion
  • Client & Stakeholder Engagement: Act as a trusted advisor to clients, engaging with them directly to understand their needs and providing consultative guidance. Collaborate with internal teams, including finance, legal, and product development, to improve system functionality and alignment
  • Compliance & Audit: Ensure strict adherence to all federal, state, and local payroll regulations. Serve as the primary point of contact for internal and external payroll audits

Qualifications:
  • Minimum of 7+ years of dedicated payroll or HR technology experience, with at least 3 years in a leadership or managerial role
  • Mastery of complex payroll operations, with a proven ability to diagnose, troubleshoot, and resolve issues that others cannot
  • Experience in a B2B or B2B2C environment with a track record of managing and collaborating with external partners or service providers
  • Extensive experience with payroll systems (e.g., ADP, Workday, etc.) and a track record of leading successful system implementations or upgrades
  • Exceptional problem-solving and analytical skills, with a meticulous attention to detail and an obsession with data accuracy
  • Strong project management skills, capable of managing multiple priorities and driving results under tight deadlines
  • Expert-level knowledge of payroll laws, regulations, and reporting requirements across multiple states
  • Demonstrated ability to mentor and develop team members with different roles and responsibilities
