Telecommunication Coordinator
The ideal candidate is a seasoned professional who has prior experience of successfully managing telecom Voice and Data circuit orders. The primary role is to initiate and manage the entire service delivery life cycle, to ensure timely and accurate installation of Telecommunications services
Operational management
- Meet top 5 suppliers (e.g. AT&T, Comcast,…) at least once a month, and review metrics (service, usage, price & tech movements like copper decom)
- Be the recipient of any Intertek/internal or suppliers/external issues or claims, and work with other teams as needed to address
- Review ALL incoming invoices, reconcile & code and track them, before release to AP. Challenge vendor or Intertek stakeholders as required.
- Ensures that services are billed to proper legal entity names and invoices are sent to the correct finance teams and resolves errors with the carriers
- Validates that all invoices are received when expected and escalate and resolves late/missing invoices to the carrier. Performs standard invoice review and validation checks, reconciles, and codes and monitors for payment.
- Resolves exceptions and ensures that invoices are re-issued correctly or that credits are validated on invoices
- Responsible for the lifecycle of all telco vendor circuit orders by acting as a liaison between internal IT teams, business representatives, local contacts (LCONs) and telco carriers/vendors, to provide timely and accurate status updates to relative parties as required
- Liaise with AP and chase payments as needed
- Keep track of SLAs and actual performance vs SLAs. Request missed SLA service credits per contract when SLA's are not achieved. Publish quarterly summary, request
- Subject matter expert who creates a streamlined workflow and possesses for end-to-end knowledge of SLA, validations, dispute management, bill pay process, carrier interactions, late payment and missing invoice analysis, process exceptions and controls
- Work with POCs to obtain up-to-date and accurate information related to the service request (address, LCONs, demarc location, technical requirements, account creation when needed) before placing orders with the carrier/vendor.
- Handles telecommunications moves, adds, changes, repairs, and inquiries.
- SPOC for Wired lines, VOIP systems, Data
- Participate in regularly scheduled carrier/vendor order status calls, to obtain detailed information and status regarding all orders
Lifecycle management
- Act as the main point of contact for telecom vendors and Intertek stakeholders for: new installs, relocations, change of service type, change of supplier, terminations
- Validate any nonstandard characteristics (new supplier, new service, new equipment) with procurement and IT teams to confirm suitability vs practice or standards
- Update standing documentation (excel) and system documentation (SolarWinds) to ensure data is accurate at all times
- Create purchase orders or work with the business for PO creation and payments; liaising with sites and shared service teams as needed. Receive goods in finance systems when required
- Review each site circuit at least once every 2 years (i.e. about 10/15 per month): circuit size, primary/second line needs, usage/ trough put to obtain 3 new quotes
- Continuous improvement for new services and cost cutting opportunities
Record keeping
- Inventorize contracts, rates, lines by site, site details, renewal & termination dates
- Manage trackers for budgeted and actuals costs of circuits, POTS lines by site and VOIP in use. Publish quarterly summary
- Maintain tracker for recharges to BL & sites
- Identify cost saving opportunities – propose to procurement and IT teams
What you'll need for success:
- 5+ years' experience in auditing telecom invoices
- 5+ years' experience in the telecommunications industry
- Experience working with Telecom expense management systems
- Strong Excel modeling and detailed data analysis capabilities
- Exceptional verbal and written communication skills
- Self-motivated with experience in independent research and problem-solving
- Highly organized and detail orientated
- Ability to meet deadlines and maintain composure under pressure
- Passion for fast-paced, rapid growth environment
- Ideally, international experience / exposure
