Description

The Talent Acquisition Operations Coordinator plays a crucial role in supporting the full cycle of Talent Acquisition (TA) activities. This role serves as a liaison between the TA team, hiring managers, and candidates to ensure systems, policies and communication support in a fast-paced, high volume TA environment. Position reports to the TA Operations Manager and supports FSA's Applicant Tracking System (ATS).

Key Responsibilities

  • Provide technical and administrative support to the TA team.
  • Oversee multiple high-volume shared mailboxes and phone lines for needed action and coordination. Respond and escalate items appropriately.
  • Oversee FSA's application and pre-screening process which includes answering inquiries from job seekers and resolving technical difficulties.
  • Perform proactive outreach to candidates to maximize the flow of candidates through the application, pre-screening, and digital interview processes.
  • Manage pre-employment screening activities with FSA's background screening vendor, to ensure the smooth processing of candidates.
    • Determine candidate suitability based on screening results.
    • Coordinate the mitigation of adverse pre-employment screening results and send rejection correspondence when adverse results cannot be mitigated.
    • Obtain approval for timeline extension requests.
    • Generate Security Handover files for selected candidates.
  • Manage requests for candidates for profile updates, multiple profile merges and system notifications (notify me, removals)
  • Create and manage requisitions, to include preliminary tailoring of the job description and requirements, as appropriate.
  • Support the identification of candidate sources and assist with cross-posting.
  • Set up digital interviews and create requisition specific pre-screening questions.
  • Schedule interviews, track interview feedback, and load interview notes into FSA's Applicant Tracking System.
  • Facilitate candidate testing and assessments.
  • Promote the FSA career brand on social media and at career fairs, and act as a brand ambassador.
  • Promote FSA's Employee Referral Program internally.
  • Provide timely verbal and written communications and status updates to internal stakeholders.
  • Run reports and review for needed action and coordination.
  • Make real-time updates to FSA's Applicant Tracking System (ATS) and assist with the preparation of TA reports and metrics.
  • Help ensure TA activities comply with contractual regulations and applicable employment laws.
  • Assist with recordkeeping as appropriate.
  • Serve as primary backup for the TA Operations Manager
  • Support physical and virtual career fairs.
  • Partner with recruiters to manage sourcing communications.
  • Perform initial screening and qualifying for certain entry level roles.
  • Take on special projects that advance the mission of Talent Acquisition.


Requirements

Minimum Educational Requirements

  • Associate degree or bachelor's degree in a related field preferred (years of relevant experience may be substituted for education)

Skills/Qualifications Required

  • 2-5 years' experience supporting Recruiting, Human Resources or relevant business area.
  • Understanding of TA principles, concepts, best practices and standards.
  • Results-driven with great time management and organizational skills.
  • Self-starter who can work independently with minimal supervision, to include deciding the appropriate course of action
  • Strong oral and written communication skills, including the ability to communicate appropriately with stakeholders at all levels.
  • Excellent attention to detail.
  • Ability to multi-task and prioritize critical items in a high-volume environment.
  • Strong problem-solving skills.
  • Intermediate skills in MS Office Suite (i.e. Excel, Outlook, PowerPoint, Teams and Word).
  • Proficiency with creating and editing PDF files.
  • Knowledge of employment laws and regulations or an understanding of government contracting.
  • Working knowledge of an ATS, HRIS, or similar database, preferably ADP Recruiting Management and/or ADP Vantage.

Preferred Skills/Qualifications

  • Experience with digital interview tools such as VidCruiter, Willo, or HireVue.
  • Experience with SharePoint.
  • Online-savvy, social media understanding is a plus.

Physical Requirements / Work Environment

  • Work is performed in a normal office environment or hybrid model.
  • Sedentary work. Requires the ability to operate standard office equipment and keyboards. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
